Job Summary

TAMS (an AECOM company) is seeking a Logistic and Onboarding Coordinator to join our CNRL Albian Project Team in Calgary or Edmonton, AB. This is a Temporary position to support Spring Turnaround season. This position will start in our Calgary or Edmonton Corporate office on 5 days on and 2 days off and then the incumbent may require to commute/work at assigned project location, if required.

The Logistic and Onboarding Coordinator will report to the HR lead and will work with the onboarding team and LR dispatcher to deliver a positive and effective onboarding and travel experience for the TAMS workforce. The Logistic and Onboarding Coordinator will be responsible all or some of the following duties: collecting, scheduling and coordinating new-hire orientation, preparing welcome package material, scheduling onboarding training, ongoing monitoring and scheduling of requalification training and entering and maintaining training records via the Learning Management System.

RESPONSIBILITIES

  • Monitor and follow-up on the completion of orientation and onboarding training/ticket requirements, if any.
  • Review and approve new hire / re-hire submissions and onboarding packages/documents.
  • Organize HR files and documentation on company intranet and/or HR systems.
  • Ensure travelers are provided with departure information, maps, etc.
  • Maintain careful records of all work done.
  • Under limited supervision, performs routine to moderately complex clerical, administrative and secretarial duties.
  • Develop and prepare material for the Orientation Day.
  • Prepare Welcome Packages as required.
  • Prepare and assign in the Learning Management System (LMS), the new-hires role-based training plan, as required.
  • Prepare Supervisor Checklist & New-Hire Checklist, as required.
  • Monitor and follow-up on the completion of orientation and onboarding training requirements.
  • Assembles and analyzes information, prepares reports, agendas and memoranda.
  • Control and distribution of incoming correspondence.
  • Collection and completing action items of outgoing correspondence.
  • Provide general office support to all site personnel.
  • Receives incoming telephone calls and handles inquiries, takes messages, and transfers calls to appropriate party.
  • Maintains files, keeps records, prepares schedules, makes travel arrangements, compiles reports, and processes documents of a routine nature.
  • Support LR dispatcher on manpower requirements and workforce mobilization.
  • Book/coordinate commercial travel arrangements and room bookings for TAMS travelers at CNRL Albian project.
  • Ensure arrangements are in compliance with the company’s travel policy.
  • Ensure booking confirmations, itineraries, and tickets are delivered to the traveler in a timely manner.
  • Maintain all changes to traveler profiles.
  • Assist with other TAMS project administration tasks and duties as assigned.

In order to be valid, the test must have been conducted at the direction of AECOM – O&G Business Unit.

Minimum Requirements

  • High School Diploma
  • Strong ability to prioritize, organize and manage time.
  • Proficiency with MS Office (Word, Excel and Outlook).
  • Strong data-entry, detail-orientation and analytical skills.
  • Ability to liaise with all levels of internal and external customers.
  • Accurate time and data entry skills.
  • Excellent verbal and written communication skills.
  • Ability to work in a team environment.
  • Able to travel, as required.

Preferred Qualifications

  • 1 to 2 years’ experience in an office environment is an asset, preferably who has gained their experience within a fast paced HR function or HR shared services environment.
  • Previous experience as a Travel Coordinator / Site Administrator is an asset.
  • Experience handled high volume paperwork or data-entry is an asset.
  • Post-secondary certificate or diploma in Human Resources Management from accredited institution is preferred.
