Academic Program Administrator

Position Summary:
The Academic Program Administrator reports to the Associate Director (Academic Programs and Planning) within the portfolio of the Associate Provost (Teaching and Academic Programs). Supports Faculties and other relevant staff in the development of new academic programs, notably after these programs have been approved by the Subcommittee on Courses and Teaching Programs (SCTP).

Primary Responsibilities:
Provides administrative advice to Faculties and other members of the Associate Provost’s (Teaching and Academic Program) team in the preparation and submission of dossiers for new program proposals to the Bureau de Coopération Interuniversitaire (BCI) and the Ministry of Higher Education (MES).

Provides administrative support, and serves as the Secretary, to the Academic Policy Committee (APC), the the Senate Committee on Libraries, the APC Subcommittee on Continuing Education, and the APC Subcommittee on Professional Programs. Serves to provide support to the Chair of these committees, as needed.

Coordinates (among Faculties, and with other related offices, including the Office of the Deputy Provost (Student Life and Learning)) activities related to provincial grants with a focus on teaching and learning and academic programs, such as Entente Canada Quebec and related opportunities.

Supports and assists the operations of the Cyclical Unit Review Office reviews, and assists with the logistics pertaining to the organization of academic and administrative site visits involving high profile external evaluators.

Supports the Course and Program Administrator as needed, including liaising with Faculties and other units, tracking and organizing files, process support, and assisting with dossier preparation for programs, or other course and program changes.

Acts as a primary contact for matters relating to professional programs and professional orders, and as such liaises with the Office des professions .

Provides administrative support to Faculties and the Associate Provost (Teaching and Academic Programs) in tracking accreditation cycles in Faculties, including document collection, and liaison with appropriate external bodies.

Assists the Associate Director (Academic Programs and Planning) with the final preparations and submission of new program proposals requiring Ministry approval, and liaises between the external approval committees and the University .

Other Qualifying Skills and/or Abilities

Bilingual (written, oral), in French and English

Excellent communication skills

Knowledge of academic programs an asset

Familiarity with MS-office products, including Outlook, Excel, ETC

Familiarity/experience with, or capacity to learn, skills related to website development and maintenance.

Organized, meticulous, attention to detail

Work effectively as part of a small team, and ability to work independently

Experience acting as Committee Secretary considered an asset

Minimum Education and Experience:
DEC III 3 Years Related Experience /

Annual Salary:
(MPEX Grade 03) $50,330.00 – $75,490.00
