Administrative Assistant

Summary

Achev is looking for a reliable, casual Administrative Assistant with excellent technology and communication skills. Working remotely, the Administrative Assistant will provide administrative support to the Project Manager of the National LINC Online Curriculum project. This position is suitable for candidates in Ontario seeking remote work with flexible hours.

The National LINC Online Curriculum project will develop Language Instruction for Newcomers to Canada (LINC) online curriculum for Canadian Language Benchmark (CLB) levels 3 to 5.

Duties & Responsibilities

  • Book and record virtual meetings in Zoom and other virtual platforms, and handling meeting-related files
  • Maintain computerized/cloud filing systems
  • Track renewal of subscription-based software
  • Maintain list of capital assets
  • Provide general administrative financial support services including checking/processing invoices, recording payment details, reporting payments and flagging any discrepancies.
  • Support procurement and purchasing processes
  • Track the distribution of honoraria
  • Communicate with project stakeholders as required
  • Escalate issues to the Project Manager in a timely manner, anticipate and mitigate roadblocks impacting project deliverables
  • Other duties as required

Qualifications

Must-have

  • Administrative work experience
  • Minimum 2+ years of experience (5 years are preferred) in a fast-paced professional environment handling multiple priorities
  • Excellent technology skills (MS Office Suite, Zoom, Google Suite, DocuSign, Adobe Acrobat, SurveyMonkey, etc.) and aptitude to learn new technologies autonomously
  • Excellent communication skills, both verbal and written
  • Ability to follow guidelines and procedures for standardized outputs
  • Proven ability to act professionally and maintain confidentiality, ensuring sensitivity to the needs and interests of project stakeholders
  • Proven organizational skills coupled with the ability to handle multiple tasks, meet deadlines, and report on the status of work when requested
  • Proven ability to apply sound judgement and work with limited supervision
  • Ability to be flexible and excel in a fast-paced environment characterized by changing priorities

  • Not-for-profit or settlement sector experience an asset
