Primary Purpose: To provide administrative support to the Cameco Chair in Indigenous Health and Wellness and Pewaseskwan (the Indigenous Wellness Research Group).

Nature of Work: Reporting to the Cameco Chair with day-to-day direction from the Executive Director, this position interacts with a diverse group of individuals including faculty, students, staff and the public including Indigenous community members, Elders and Knowledge Holders. The incumbent exercises discretionary decision making as well as making decisions according to established policies. The work encompasses a broad range of complex duties and processes that involve deadlines, peak periods and situations that requires both the ability to work independently as well as part of a team. Tasks involve highly sensitive and confidential matters. This is a high-volume position that requires the ability to work in a fast-paced environment, subject to multiple, conflicting deadlines and priorities, with frequent interruptions.  It is expected that the incumbent will have excellent interpersonal skills, attention to detail in maintaining records and correspondence.

Typical Duties: This position supports all clerical aspects of Pewaseskwan as outlined below:

  • Calendaring and scheduling meetings for the Cameco Chair.
  • Interact with and respond to requests from internal and external stakeholders including Indigenous community members, Elders and Knowledge Holders
  • Act as a resource for faculty, students and staff.
  • Process travel and expense claims both for the Cameco Chair and Pewaseskwan.
  • Draft, distribute, update and collect documentation and correspondence, including but not limited to, compiling and drafting agendas, letters, completing meeting minutes.
  • Prepare, track and ensure action items are completed.
  • Schedule travel and activities, including but not limited to, accommodation, transportation, catering, signage, audio-visual equipment, technology, documents, printing, and correspondence.
  • Act as the main point of contact for inquiries.
  • Maintain contact lists and databases.
  • Provide financial administrative support to research projects as assigned
  • All other duties as assigned.

Qualifications

Education: Completion of Grade 12 and a recognized post-secondary administrative assistant program is required.  A combination of education and experience may be considered.

Experience:  Three to five years of related experience.  A high level of proficiency with computers and software with advanced knowledge of the Microsoft Office Suite (especially Outlook) is required.  Knowledge of University processes, including Connection Point, Concur and SharePoint would be an asset. Potential candidates will preferably identify as Indigenous or have Indigenous lived experience, and a proven track record of working well with Indigenous people.

  • Ability to exercise discretionary decision making as well as making decisions according to established policies.
  • Proficiency with Excel spreadsheets and financial budget reporting

Success in this role requires balancing the ability to work independently and as part of a team; following instructions, policies and procedures while exercising initiative; setting priorities and seeking assistance when needed.  Applicants must demonstrate efficiency with Microsoft Office software and would benefit from knowledge of University and College procedures. The successful applicant should value diversity, have an awareness of Indigenous contemporary issues and demonstrate sufficient knowledge and understanding of Indigenous culture and history.

The salary range, based on 1.0 FTE, is $23.35 – 30.61 per hour. The starting salary will be commensurate with education and experience.
