The Faculty of Liberal Arts and Professional Studies (LA&PS) is the largest Faculty at York University with over 23,000 undergraduate and graduate students, and almost 100 programs delivered through 24 Departments, Schools and Colleges, plus the IBM Markham Learning Site. Through innovative course design, diverse experiential education and learning opportunities, and a supportive community environment, our students receive the education they need to create big ideas that have an impact on the world.The Graduate Program Assistant (GPA) is responsible for supporting the graduate program, providing administrative support, advice and guidance to the Graduate Program Director (GPD), faculty and students, and providing information on University, Faculty and unit policies, procedures and regulations related to the graduate program. The GPA provides continuity, historical perspective and transitional support to GPDs during their term appointments. The GPA will also support the vision, mission, values and strategic direction of the Faculty of Liberal Arts & Professional Studies and York University, and contribute to a positive, supportive and student-focused team environment of high performance, respect, trust, collaboration and continuous improvement, embraces diversity and fosters inclusion.
College Certificate in Office Administration or an equivalent of 2 years recent experience (defined as within the last three years) working at York University and performing the same or similar tasks. This education equivalency is in addition to the experiential requirements outlined below.
Minimum three (3) years of administrative experience in an academic School/Department, including supporting academic and administrative processes and activities, providing degree and certificate information to students, and customer service, some knowledge of graduate program degree requirements and processes are required. Demonstrated experience in the development and preparation of promotional materials and written content would be an asset. Experience with on-line student records system (SIS) or a similar on-line database, familiarity with ADM and GEM would be an asset
A. Knowledge of academic administration processes (course scheduling, curriculum support, York’s Academic Honesty procedure).B. Knowledge of degree and program requirements. C. Ability to deal courteously and effectively with people, work independently as well as an effective member of a team. D. Effective oral communication skills to elicit and provide accurate information in a clear and concise manner including active listening. E. Ability to exercise the skills of good judgment, tact, diplomacy, and initiative. F. Effectiveness in attending accurately to details. G. Excellent organizational skills are essential to simultaneously handle conflicting priorities. H. Ability to work efficiently and effectively in a complex, rapidly changing high volume environment, including the ability to multi-task, set priorities and meet deadlines. I. Good written communication skills including the ability to source and summarize information, minute taking. J. Keyboarding 40-45 w.p.m., accuracy is essential. K. Word (advanced level), Excel (intermediate level), e-mail and calendar software (e.g., Outlook). L. Using software to update websites (e.g., WordPress or Contribute). Demonstrated good record of attendance and punctuality
