Reporting to the Manager, Distance Learning, IATA Training, the associate will handle the day-to-day logistics of Distance Learning (DL) and assist in the projects of improving training operations efficiency and effectiveness.


  • Maintain and develop solid customer relationships through high levels of service in order to expand and strengthen IATA’s customer base;
  • Assist in students’ enrollments, exam registration, exam results, and certificates processing;
  • Liaise with Product Managers or Subject Matter Experts for customer inquiries concerning training material, exam content and examination logistics;
  • Liaise with the Corporate Compliance, Finance, and the shipping company to ensure that all payments are processed efficiently and accurately and that the training and exam materials are delivered to customers in a timely manner;
  • Manage financial aspects with Finance Department such as creating quotation, issuing invoice, processing refund, and collecting bad debts;
  • Respond to all enquires received through CRM meeting internal KPIs;
  • Assist with promotional campaigns for Distance Learning courses; support admin tasks related to Partner contracts, including ATC, ATS and RTP;
  • Liaise with the Partnership team for all inquiries and escalations related to partner orders;
  • Contribute to operational manuals and user guides;
  • Proactively assist in developing and implementing new processes, procedures or working practices to improve customer service efficiency and IATA Training’s operational effectiveness;
  • Provide backup support to other team members in Training Operations as needed;
  • Any other operational tasks assigned by supervisor or HoD.

Qualifications and Skills

  • University degree in Business Administration, Logistics, Accounting, Finance, Economics, Statistics, Marketing, or related fields;
  • Prior experience in a similar function would be an advantage;
  • Proven organizational skills with the ability to handle multiple projects simultaneously whilst maintaining a high level of attention to detail and respecting the deadlines;
  • Strong sales and customer service orientation;
  • Demonstrated ability to work effectively as a team member in an international and multicultural environment;
  • Ability to work efficiently and effectively under pressure;
  • Strong data analysis skills;
  • Ability to think creatively to solve problems;
  • Highly computer literate: excellent PC skills, particularly in MS Excel; familiarity with IT system such as Salesforce, SAP, or SharePoint is a definite asset;
  • Fluency in English (written and verbal) and ability to communicate effectively are essential, whilst knowledge of other languages is a definite asset.
