Coordinator, Registrar’s Office and Academic Advising

Reporting to the Dean of Academic Systems, the Coordinator of Registrar’s Office and Academic Advising is responsible for the development, implementation, organization, control and evaluation of employees and systems associated to the registration processes of all regular day and continuing education students, the maintenance of their records and the transmission of related data to the Ministry (MES). The coordinator is also responsible for the Academic Advisors teams and aligning student pathway processes with Academic Policies and procedures. In order to fulfill her/his mandate, the Coordinator also liaises, as representative of the College, with external and internal organizations and departments. As a member of the Academic Systems-Registrars team, she/he ensures that appropriate support to the academic administration, in the pursuit of the goals and objectives of the College’s strategic plan, are provided. Finally, the Coordinator is accountable for her/his department activities, for the management of the human, financial and material resources of her/his sector of activities, as well as for the verification and compliance to relevant College and Ministry of Higher Education (MES) policies and procedures.

More specifically, but not limited to, the Coordinator of Registrar’s Office (Scheduling, Registration, Records) and Academic Advising:

  • Plans, organizes and oversees all aspects of the registration of students, including pre-registration, online registration, in-person registration and late registration, as well as course change and course withdrawal;
  • Plans, implements, coordinates and supervises the activities and operations related to Scheduling, Registration and Records;
  • Subsequent to the admission and registration of students, is responsible for the accurate collection, verification and timely transmission of student data necessary for Ministry of Education funding;
  • Supervises the team of Academic Advisors, their work plans and processes, in alignment with Academic priorities, policies and procedures;
  • Provides the Dean of Academic Systems-Registrar and other members of the College administration with ongoing statistical data essential for enrolment projections, staffing, etc.;
  • Ensures the effectiveness of records procedures (both electronic and few remaining manual ones) in the pursuit of continuous improvement of processes and of accurate and timely services, in order to meet constantly evolving users’ needs;
  • Coordinates with IT Services for the analysis, development, implementation and maintenance of all systems related to its area of responsibility and thus ensure that all required systems operate at an optimal mode;
  • Ensures optimal utilization of systems in order to provide improved online services to support the academic sectors in the application of important policies mechanisms (IPESA, Cheating and Plagiarism, Grades Review, …);
  • Participates in the budget planning of the Service and manages budget of activities under her/his responsibilities including training and professional development linked to systems;
  • Is responsible for the development and maintenance of the critical path of the activities of her/his area;
  • Proposes policies, priorities and procedures relative to scheduling, registration and records to the Dean of Academic Systems;
  • Collaborate with all Academic Systems departments on all processes impacting the Registrar’s Office operations. Implement and monitor to further develop and improve the operational aspects of the sector under her/his responsibility;
  • Collaborate with College departments regarding Registrar’s operations (Athletics, Student Services, International, Communications). Implement and monitor in order to optimize the integration of linked operations;
  • Develops and implements critical paths conducive to better Data integration in College systems for all sectors of Academic Systems-Registrar.

Other related responsibilities as mandated by the Dean of Academic Systems.

Schedule: Monday – Friday, 9:00 a.m. – 5:00 p.m. (35 hours a week)

Classification: Cadre – Classe ADM-6

Salary : $73,515 – $98,017

Requirements :
Qualifications: Established in accordance with provisions of Article 7-2.00 of the Policy for Management Personnel.***

  • Undergraduate degree in an appropriate field; management or operational management, an asset;
  • Five (5) years of relevant experience in the Education sector, preferably at the College level or in an unionized environment;
  • Strong knowledge of the Cégep system;
  • Experience with team management and/or results-based leadership;
  • Ability to communicate constructive feedback and inspire others;
  • Excellent human relations skills and customer service oriented;
  • Experience in change management
  • Analytical and innovative skills in elaboration and enforcing processes and procedures;
  • Excellent managerial skills, operation managements skills and strong interpersonal relations skills;
  • Ability to work under pressure and manage several dossiers simultaneously
  • Excellent oral and written communication skills in English and French (to be tested);
  • Good knowledge of Microsoft Office and information systems (to be tested).

***Exceptionally, a DEC and additional years of experience may be considered in lieu of the preferred Bachelor’s Degree
