        Responsibilities
        
                        Position Purpose Summary:
Boundless Vancouver Community Ministries organizes The Salvation Army Boundless Vancouver Christmas Toy Shop for children and families. The Christmas Volunteer & Donation Coordinator works with our Boundless Vancouver team to organize our volunteers and coordinate donations for The Christmas Toy Shop and the Christmas Luncheon.
BASIC FUNCTIONS/RESPONSIBILITIES:
Volunteer Coordination: 

Works in conjunction with and in support of The Christmas Toy Shop by identifying and promoting volunteer opportunities
Recruit, screen, register & orient appropriate volunteers to fill positions
Process necessary paperwork, including Criminal Record Checks and volunteer agreement packages
Deploy volunteers to positions relevant to their interests and skills
Help orientate and supervise volunteers while they are deployed to their positions
Keep thorough records of volunteer information and hours of service for statistical purposes

Donation Coordination: 

Work in conjunction with and in support of the Christmas campaigns, identifying the financial and in-kind donation needs for Christmas distribution
Solicit financial and in-kind donations and correspond in a timely manner with individuals and corporate donors in the community; organize toy drives with companies and organizations in the community
Coordinate drop-off and pick up schedule with donors and driver(s)
Help coordinate with divisional Public Relations team for the Toy Mountain event
Relay donated items to the appropriate personnel for proper storage and distribution
Keep thorough records of donor information and donated items/amounts & maintain a positive relationship with our donors
Perform other duties as assigned

 
                    
                

        Qualifications
        
                        Education/Certifications:

Post-secondary education and work experience in fund-raising, donor relations, public relations

Experience:

One (1) to three (3) years of relevant experience, including experience working in customer service related fields

Required Skills/Knowledge:

Excellent organizational skills
Superior relationship building skills and the ability to interact with individuals at all levels in a confident, collaborative and professional manner
Proven ability to multitask
Be able to work independently; demonstrated self-starter and team player
Excellent verbal communication skills in person and on the phone
Excellent written communication skills
Proficient computer skills and familiarity with Google Suite and Microsoft Office
Ability to learn new software quickly and teach others
Be able to lift up to 30 lbs

Valid BC Driver’s License
Background check consent
A clear vulnerable sector screening
A clean drivers’ abstract

This is a permanent, full-time position based on 35 hours per week.  Standard hours of work:  9:00 a.m. to 4:30 p.m. The work schedule is determined in consultation with your supervisor and may vary according to requirements of responsibility.  Schedule will include evenings and weekends. Applicable shifts include a ½ hour unpaid meal break. Travel is required.

Shifts: Monday – Friday, 9:00 AM – 4:30 PM

Operational hours of this facility are 9:00 Am – 5:00 pm.

KEY RESPONSIBILITIES:

Youth Programming

  • Contribute to the spiritual development of children/youth/young adults and their families within the church and community: mentor, discipline, encouragement, model appropriate attitudes and behaviors.
  • In consultation with leadership, seek and implement quality discipleship programs for Sunday school, community outreach programs, and youth discipleship programs. Regularly assess effectiveness and make recommendations for change as needed.
  • Plan, supervise, implement, and participate in regular special Corps events primarily focused on youth and their families with the goal of creating fun, fellowship, and outreach. (e.g., Christmas assistance, Camps, Carnival Day, baby song, red cap, sports programs, Vacation Bible School, etc.).
  • Support and participate in Divisional youth events.
  • Demonstrate keen interest in connecting young families to New Hope Community Church through outreach programs and relationship building.
  • Assist with community and family service ministry when needed and with outreach programs for youth.
  • Work in cooperation and consultation with the corps’ administrative and pastoral care givers.
  • Work alongside Corps Officer’s to prepare/deliver children and youth worship services, and devotionals
  • Interact with community partners as necessary to seek resources and services for youth ministries.
  • Organize and coordinate fundraising initiatives as required.

Human Resources

  • Recruit, supervise, orientate, and develop a team of volunteer leaders for children and youth discipleship programs such as Bible studies, Corps Cadets, youth groups, and College and Careers groups in partnership with the Corps Officer. Provide necessary training and oversight in these programs.
  • Provide direction and support to program volunteers
  • Ensure completion of police checks for volunteers, completion of statement of applicant for work with children and youth forms, online abuse prevention training)
  • May develop strategies and recommendations for volunteer development.
  • Deal with volunteer complaints and incident reports
  • Prepare, post, and maintain all volunteer schedules

 Administration:

  • Maintain rolls and stats relevant to children and youth ministries and their leaders
  • Prepare and maintain written records/logs of activities, activity reports and statistical information.
  • Assist in the maintenance of volunteer files and statistical records as directed.
  • Design and draft promotional material to highlight various programs [subject to supervisory approval].
  • May participate in development and implementation of policies/procedures for the Youth Programs.

Communication:

  • Network with other children and youth ministry leader in the Orangeville area.
  • Develop and maintain a strong social media presence for New Hope youth.
  • Communicate in a pastoral and relational manner with congregants, families, and staff.
  • Inform the Corps Officer regarding any concerns or issues in a timely manner.

Health and Safety

  • Maintain program storage areas (e.g., updating, safety, organizing, etc.).
  • Seek out continual education in food safety and health standards, including maintaining Safe Food Handling Certification.
  • Work in compliance with OH&S Act and Regulations and abide by The Salvation Army’s health and safety policies and procedures.
  • Ensure compliance with all COVID-19 protocols and requirements.

MANAGERIAL/Technical Leadership RESPONSIBILITY:

  • This position reports directly to the Corps Officer or designate.
  • The incumbent is responsible as a group/work leader.
  • Hold regular volunteer meetings
  • The incumbent directly supervises up to 5 youth volunteer leaders within established guidelines.
  • Work will involve in-person and virtual duties.

FINANCIAL AND MATERIALS MANAGEMENT:

  • This role is responsible for curriculum, program equipment, and driving Corps vehicle.
  • Expenditure approval for $1,000.00
  • Provide departmental budget input and required to monitor financial performance

Working Conditions:

  • This is a permanent full-time position based on 35 hours per week.
  • Working environment is typically in the office in generally agreeable conditions.
  • Ability to lift/move up to 20 to 29 pounds
  • This job requires reaching, bending; sitting and standing for periods of time.
  • Travel [approx.. 10%] pick-up supplies, attend community meetings, attend camps. Note: required to use the program vehicle when available.

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

Education, Qualifications and Certifications:

  • Completion of formal post-secondary/college diploma of 2 or 3 academic years in related field of study, Children/Youth.
  • Current Safe Food Handling Certificate, or willing to obtain and maintain current certificate
  • Current CPR/First Aid certification, or willing to obtain and maintain current certification
  • Alternative combinations of education and experience may be considered.

Experience and Skilled Knowledge Requirements:

  • Minimum of two (2) years of prior related experience leading volunteers and working with children and youth programming.
  • Proficiency in a computerized environment; skilled in Social Media and Microsoft Office, Word, PowerPoint platforms.

Skills and Capabilities:

  • Demonstrated ability to work with and relate to children, youth and parents.
  • Understanding of the youth and young adults, and associated needs.
  • Strong team player with demonstrated leadership skills.
  • Attention to detail, problem solving and analytical skills.

  • Valid Ontario Class “G” Driver’s License; personal vehicle and insurance, and a current copy of a Driver’s abstract
  • Provide an original copy of a Background Check with vulnerable sector screening
  • May require screening through The Salvation Army Abuse Registry.
