EXECUTIVE ASSOCIATE
MARKETING AND COMMUNICATIONS

This role will support the Associate Vice President (AVP) of Marketing and Communications and will provide a full range of business administration duties. The ideal candidate will be able to keep organized and organize others in a fast-paced environment, have a natural ability and interest to seek out and learn new things, and have a proactive approach with a high level of initiative to lead from where they are. We’re looking for someone to find ways forward, so someone with a tendency to think analytically and provide innovative solutions to every day problems will excel in this role.
In addition to providing support to the Associate Vice President, this role will be an integral part of the Marketing and Communications team and will need to apply excellent interpersonal skills, relationship building and communications with the team and other internal and external stakeholders. HOW YOU’LL MAKE A DIFFERENCE
Coordinates activities related to the AVPs business schedule and calendar; assesses meeting requests, redirects requests where appropriate; and prioritizes meetings.
Gathers information and prepares meeting packages for the AVP ensuring background-related material is available and sends out meeting agendas.
Maintains and monitors a listing of assignments, meetings, action item requests and ensures timelines are met in a proactive way.
Provides a full range of administrative support for Marketing and Communications projects, including supporting on monitoring and managing tasks and timelines, technical support (sorting, filtering and cross-referencing data) with large spreadsheets, and coordinating (paper and digital) file storage and records management.
Prepares expense claims, codes and ensures appropriate authorization for invoices, reconciles monthly credit card statements, and creates journal entries for the AVP and managers within Marketing and Communications.
Reviews monthly financial reports, prepares monthly variance analysis and follows up on inaccuracies.
Prepares contract control forms to support contract management requirements and tracks contracts.
Manages the day-to-day administrative functions for the Marketing and Communications office including inventory and ordering for office requirements.
Organizes administrative process workflows such as vacation, travel, expense claims, procurement, etc.
WHAT YOU BRING
Two year post-secondary diploma, preferably in office or business administration.
3-5 years of senior administrative assistance in a fast-paced professional environment.
Advanced Microsoft Office Suite skills, particularly with Microsoft Excel, Outlook, Teams and SharePoint; as well as other web-based applications.

Ability to maintain strict confidentiality at all times.
Excellent written and verbal communication skills.
SALARY: $50,782 – $65,977 reflective upon what you bring. AKA your education and experience. Plus, immediate access to our great pension and benefit programs.
