Graduate Program Assistant

Purpose:
To support the daily administrative operation of the graduate program in Chemistry. This includes responding to inquiries regarding program policies and procedures, overseeing and monitoring registration, administrative coordination of program admissions, course offerings, organizing oral exams, convocation and reporting grades

Education:
Community College Certificate in administrative processes/business or an equivalent of 2 years’ recent experience (defined as within the last three years) working at York University and performing the same or similar tasks. This education equivalency is in addition to the experiential requirements outlined below.

Experience:
Two (2) years’ recent administrative experience in an academic environment. Also required is experience with scholarship coordination support, working with students and organizing administrative processes ? registration/enrolment, oral exams, supervisory committees, convocation, calculating funding requirements, providing service to students in an on-demand, customer-service-oriented environment, preparing materials and responding in-person, email and telephone enquiries and web-page maintenance. Preference will be given to candidates with graduate student service.

Skills:

  • Competency using the following software: Windows, intermediate MS Word, advanced MS Excel, and experience working with a student information system or similar online database.
  • Working knowledge of ARMS and CUPE Hiring system or similar systems.
  • Knowledge of academic graduate studies policies and procedures.
  • Able to understand graduate student funding policies.
  • Ability to deal courteously and effectively with others in a professional manner, including tact and diplomacy, is essential.
  • Ability to maintain confidentiality.
  • Excellent communication skills both written and verbal, including the ability to obtain and provide information in a clear and concise manner.
  • Impeccable attention to detail and accuracy are essential.
  • Excellent organizational skills including ability to set and meet competing deadlines ability to work independently and as an effective member of a team.

  • Must be punctual and reliable.This position requires the candidate to produce a verification of degree(s), credentials(s) or equivalencies from accredited institutions and/or international equivalents at the time of interview.Hours of work: 8:30am to 4:30pmSummer: Same Occasional overtime will be availableVacation restriction: Late August/early September. Vacation to be coordinated by the Operations Manager
