Qualifications:
College certificate in office administration or equivalent certification;
Two to three years of experience within an office environment requiring similar duties;

Excellent communication skills.

Position Description
Administrative Assistant, Campus
Nature and Scope of Work
Reporting to the Chair, Academic Upgrading this incumbent is responsible to provide administrative support to the Campus programs and other programs as required. Responsibilities include: computer use, reception, assistance to University Studies faculty and program advisors, purchasing and general office services.
Duties and Responsibilities
Direct calls to the appropriate staff. Must know the duties of others in College.
Acquisition of supplies for program areas. This includes preparing the purchase orders, ordering and distributing the supplies. Keeping an inventory of basic office supplies.
Properly code invoices for signature.
Filing information in a manner consistent with the College Records Management procedures. Ensure confidentiality of all documents.
Answer basic inquiries from staff, students, and the public. This is done in person, on the phone or by email.
Operate office equipment; computer, fax, photocopier, telephone, printer.
Electronic input of final course marks for all University Studies courses
Set up and maintenance of student attendance tracker for students
Coordinate CCP student contacts, registrations and orientation
Collect course and instructor evaluations for fall, winter, spring-set-up, dissemination to student class lists, collection, amalgamation and distribution of reports
Set up and maintenance of student class lists for other programs taking courses
Produce word processing and spreadsheet documents for the program areas.
Entering and retrieving information from the Student Information database.
Input updates to Master Program Plans.
Sort and properly distribute the incoming and outgoing mail.
Liaise with Finance department to reconcile invoicing issues.
Knowledge, Skills and Abilities
Excellent communication skills, both verbal and written • Time management skills.
Good computer knowledge; especially MS Office, email.
Keyboarding skills of 40+ wpm.
Good proof-reading skills.
Must work closely with students and the general public.
