Manager, Academic Scheduling

Purpose:
Reporting to the Assistant Director, Academic Scheduling, the Manager, Academic Scheduling supports and enables the academic mission of the University through the management and effective operation of the allocation of academic space for all York University campuses for academic and non-academic activities, including the development of the detailed schedule for all official examination periods and the management of the conduct of examinations in the University’s shared central examination locations. The Manager, Academic Scheduling coordinates the activities of all University administrative units and faculties towards the development and deployment of the schedule of classes, labs, tutorials, and official examination periods. The Manager, Academic Scheduling also plays a critical role in the effective operation of enrolment by providing advice to faculty departments regarding how to achieve their specific enrolment management needs through the maintenance of course enrolment access rules on behalf of the faculty departments.

Education:
University degree or equivalent combination of education and experience (e.g., logistics, business, event management, inventory management).

Experience:
Minimum of 3 years of administrative/business experience working in an environment of scheduling, planning events etc., preferably in post-secondary or higher education (e.g., Registrar’s Office, academic department or similar area). Previous management experience overseeing staff both union and non-unionized workers. Experience building and managing large cohesive teams, mentoring and coaching.

Skills:
Excellent interpersonal skills to negotiate, handle conflict resolution and create an engaging working environment collaborating with a wide variety of clientele. Excellent oral and written communication skills. Analytical/problem solving skills including work process review, establishing benchmarks and performance metrics.

Ability to use sound judgment, initiative and creative problem-solving skills (e.g. advocate for resources). Excellent planning and organizational skills to meet predefined deadlines, coordinate a number of exercises and deadlines simultaneously, plan for interdependent resources (e.g., technical). Excellent leadership, motivational and diplomatic skills appropriate to a large and complex service delivery organization. Ability to delegate and prioritize the work of others. Ability to plan budgets and projects that can be multi-year or done simultaneously. Advanced technical skills working with databases (e.g. scheduling software) etc. Intermediate to advanced word processing, spreadsheets, presentation and email software. Maintaining confidentiality. Additional Notes:
Hours of work: 8:30 a.m. – 4:30 p.m. Incumbent will need to be occasionally on site and/or ‘on call’ for emergencies after hours and on weekends particularly during peak periods such as midterms, in-class finals and official examination periods. Vacation is restricted – Restriction Definition: During peak operational periods. This position has a private office for most of the work and will be on site at exam centers during peak periods as required. This position requires sensory demands for dealing with very detailed scheduling logistics and works the majority of the time with a computer. Also requires active listening skills to understand the needs and concerns of the campus partners and to manage the staff.

  • Compensation:

York implemented a revised CPM Compensation Framework in 2019. The Framework is a salary grid consisting of 6 or 8 steps (depending on job grade) which is reviewed annually with possible adjustments, and a lump sum Performance Based Recognition Award. Employees will receive the grid adjustment and depending on performance, eligible permanent employees may move to the next step of the grid and may receive a lump sum Performance Based Recognition Award.Visit the CPM Compensation page on the HR Website to find out more about York’s CPM Compensation Program.
