21-13 Legal Services & Policy Administrative Support

APS is recruiting for a temporary Legal Services & Policy Administrative Support.

Reporting to the Director, Legal Services, this position supports Legal Services and Pensions

Policy by providing administrative support, including but not limited to:

  • Finalizing letters and other documents for Legal Services.
  • Ensuring the policy and legal database and filing system are up to date and

operating correctly.

  • Co-ordinating business unit submissions and preparing draft versions for review.
  • Maintaining the litigation database, the limitation calendar and bring forward system

for legal files.

  • Searching and retrieving employer and member records (MOSAIC and Vault) for

documents as requested by Legal Services.

  • Preparing notes to file of activity summaries allowing for monitoring and future

reference.

  • Updating the file database to allow for topical searches and file reviews.
  • Ensuring that copies of up-to-date orders in council and regulations are available to

Legal Services staff.

This position will work closely with Pensions Policy, Client Operations, Client Services and support

staff from the Executive Leadership team.

Qualifications:

  • Post-secondary education with 2-4 years of directly related experience; or
  • Five or more years of directly related experience.

Plus:

  • A demonstrated high degree of maturity and tact.
  • Strong communication skills and organizational ability.

Knowledge:

  • Knowledge or familiarity of the Public Sector Pension Plans Act and regulations, the

Employment Pension Plans Act, and familiarity with the Income Tax Act.

  • Knowledge of pension administration functions and processes.
  • Thorough knowledge in MS Office including Word, PowerPoint and Access.
  • Knowledge of Excel and MS Project and VISIO is desirable.
  • Knowledge of pension governance, legislation and policies is an asset.

Skills and Abilities:

  • Strong personal organizational skills.
  • Strong interpersonal skills for working within a cohesive team.
  • Excellent communication skills, both verbal and written.
  • Good time management skills.
  • Experience using databases is an asset.
  • Tact and discretion highly desirable.
  • Microsoft Office and Adobe Acrobat.
  • Proven ability to work effectively in a team setting, including ability to provide and accept

feedback.

  • Demonstrated ability to work independently, and judgment and maturity to know when to

ask for assistance or clarification, or to take initiative within established policies and

procedures.

  • Demonstrated ability to work with confidential information is essential.
  • Experience working within a records management system.
