Our Parks & Environment Department is seeking a Special & Community Events Coordinator who will organize, coordinate and support a variety of outreach campaigns related to the implementation of Metro Vancouver’s Climate 2050 Strategy. A particular focus of events to date has been to raise awareness of electric vehicles in the Metro Vancouver region, through the Emotive campaign, EV Strata Condo and EV Workplace. Future outreach programs are expected to be developed related to high-efficiency electric heating and cooling for buildings (i.e., heat pumps), and potentially other climate action topics related to buildings and transportation.
You are: self-motivated, goal-driven and able to work independently; you enjoy working with people (event organizers, other staff, volunteers and contractors); you have experience interacting with the public and talking about environmental actions; and you are keen to research topics like electric vehicles and heat pumps, and stay informed of new technologies and approaches in these sectors. The successful candidate can expect to join a group of engaged professionals who are striving to move the region strongly towards its bold climate action goals.
This role:
- Discusses and identifies potential outreach approaches and events with superiors with respect to department and organizational goals, investigates feasibility and plans and community priorities and develops public special event proposal in conjunction with community stakeholders and partnering agencies; ensures for stakeholder representation; identifies desired locations, organizational and logistical requirements and availability of resources.
- On approval of proposal, collaborates with community stakeholders to discuss and develop event plans, coordinates input and involvement of various departments, resolves any differences, refers unresolved or contentious matters to a superior and develops and prepares detailed plans including such things as promotional needs and time frames, roles for various participants, site communications, traffic control, public safety requirements and schedules various facets of event.
- Coordinates the implementation of the event and supervises one or more part time staff with responsibilities including speaking with visitors, handing out promotional materials, and directing the public to information and social media sites. Acts as a “troubleshooter”, ensures backup resources are available as required and monitors progress of event for modifications to schedules; provides follow up and ensures that equipment is returned.
- Establishes and maintains effective working relationships with a variety of internal and external contacts such as staff from member jurisdictions and the Provincial Government, and their contractors/program delivery agents, as well as community stakeholders and agencies.
- Solicits funding or in kind donations for events from corporate sponsors; prepares proposals for government and other agency grant funding; monitors event budgets, purchases or rents equipment, supplies, and services within approved limits; identifies potential overruns and recommends resolution; receives event revenues, maintains records and forwards monies to Accounting.
- Organizes and transports required equipment and vehicles for events; assists in the set-up and strike of event site, such as signs and banners, tables, chairs, information supplies and other small equipment; maintains equipment inventory.
- Develops and delivers training to staff, event support contractors and volunteers, and evaluates performance of same. Recruits volunteers for special events; provides instruction, orientation and work oversight.
- Plans, assigns, supervises and reviews the work of one or more staff, contractor or volunteer assisting in the work; participates in interviewing.
- Prepares event evaluation report in terms of departmental goals and objectives, reviews same with superior; prepares and maintains a variety of reports, records, files and correspondence; orders and maintains supplies; performs incidental typing.
- Prepares and delivers a variety of reports, evaluations, event plans, and records according to the work performed.
- Performs related work as required.
To be successful, you have:
- Completion of a post-secondary diploma program in recreation or a related field, plus sound related experience preferably including some supervisory experience; or an equivalent combination of training and experience.
- Considerable knowledge of the philosophy and objectives of a community engagement program.
- Considerable knowledge of the methods, materials, equipment, practices and techniques related to the work performed, in particular related to public outreach on climate action for residents and businesses is an asset.
- Sound knowledge of the applicable policies, regulations and rules governing the work.
- Sound knowledge of the interests and functions of community groups and agencies and of the available community and internal resources.
- Ability to plan, develop, implement and coordinate public special events, including coordination of event delivery teams is an asset.
- Ability to engage community stakeholders and to establish and maintain effective working relationships with internal and external contacts.
- Ability to solicit corporate and grant funding, to monitor event budgets and to prepare and maintain related reports, records, files and correspondence.
- Ability to plan, assign, supervise and review the work of part time subordinates and to participate in interviewing, train and evaluate performance of same.
- Ability to perform incidental typing.
- Driver’s Licence for the Province of British Columbia.
- Completion of a Criminal Records Check.
