As an extension of the university’s executive team, you are accountable for the effective operation of the Office of the VPA and Provost, and provides confidential, well-organized, efficient, and professional support and administration to advance initiatives within the portfolio.
Working cooperatively with diverse teams and organizational units in a dynamic work environment, you will facilitate portfolio communications and coordinates projects with the VPA and Provost to ensure processes, information, goals, and decisions are clearly communicated to internal and external clients, direct reports, and a variety of other stakeholders.
Key roles and functions include:
Supporting the effective day-to-day operation of the Office of the VPA
Acting as primary convergence point and contact for inquiries (internal and external) on a myriad of subjects, priorities, projects, and processes related to the portfolio
Organizing and supporting key academic and portfolio committee work
Coordinating and overseeing a variety of portfolio projects as operational priorities dictate
Drafting/editing communications, presentations, briefing materials, correspondence, etc.
Managing special projects and events for the VPA
Job Requirements
Holds an undergraduate degree and minimum five years of related experience providing senior administrative support in an executive office or senior management office environment, or equivalent combination of education, training and experience.
Has the ability to think strategically, assessing priorities from a perspective above the day-to-day operations, and assessing priorities and operational requirements in light of the university’s corporate goals and initiatives
Manages a demanding workload; demonstrates the skill and ability to perform a wide range of [project management] activities and procedures that require both technical proficiency and the capacity to apply and adapt skills depending on the circumstances
Well-developed, effective communication and interpersonal skills. Proven ability to liaise with clients and stakeholders, managing issues of a sensitive and confidential nature, and resolving conflicts in a professional manner
Advanced proficiency in the use of a wide range of software such as MS Office suite, SharePoint, Acrobat, and other internal software applications i.e., CAMP, EMS, etc.
The ability to garner respect in order to lead, advise and counsel others. Exhibits sound and experienced judgment/common sense to weigh a wide-range of potential outcomes and to tactfully present options to others
Demonstrates an ability to work both independently and on a team, with a proactive customer-service approach when liaising with clients and anticipating issues or operational needs, including the appropriate follow up to ensure goals and objectives are met
Demonstrates sound research and analytical abilities. Experience gathering relevant information from a variety of sources and developing recommendations applicable to the senior management level
Applies accomplished writing skills, demonstrates the ability to gather and synthesize information in a comprehensive fashion, preparing concise and clear communications in a variety of written formats
Corporate knowledge/history and familiarity with the scope and breadth of the VP Academic’s operations, RRU’s strategic direction, governance and management structures, academic policies, stakeholders, and the subtleties of organizational culture would be an asset
Additional Information
This is a regular, full-time position working 37.5 hours per week. This position has been evaluated at MPT-D with a salary range of $73,884 (minimum) to $86,922 (midpoint) to $99,960 (maximum) per annum. Employment offers will normally be made between the minimum and midpoint of the range and are determined by knowledge, experience and internal equity.
