        Responsibilities
        
                        Position Purpose Summary:
Boundless Vancouver Community Ministries organizes The Salvation Army Boundless Vancouver Christmas Toy Shop for children and families. The Christmas Volunteer & Donation Coordinator works with our Boundless Vancouver team to organize our volunteers and coordinate donations for The Christmas Toy Shop and the Christmas Luncheon.
BASIC FUNCTIONS/RESPONSIBILITIES:
Volunteer Coordination: 

Works in conjunction with and in support of The Christmas Toy Shop by identifying and promoting volunteer opportunities
Recruit, screen, register & orient appropriate volunteers to fill positions
Process necessary paperwork, including Criminal Record Checks and volunteer agreement packages
Deploy volunteers to positions relevant to their interests and skills
Help orientate and supervise volunteers while they are deployed to their positions
Keep thorough records of volunteer information and hours of service for statistical purposes

Donation Coordination: 

Work in conjunction with and in support of the Christmas campaigns, identifying the financial and in-kind donation needs for Christmas distribution
Solicit financial and in-kind donations and correspond in a timely manner with individuals and corporate donors in the community; organize toy drives with companies and organizations in the community
Coordinate drop-off and pick up schedule with donors and driver(s)
Help coordinate with divisional Public Relations team for the Toy Mountain event
Relay donated items to the appropriate personnel for proper storage and distribution
Keep thorough records of donor information and donated items/amounts & maintain a positive relationship with our donors
Perform other duties as assigned

 
                    
                

        Qualifications
        
                        Education/Certifications:

Post-secondary education and work experience in fund-raising, donor relations, public relations

Experience:

One (1) to three (3) years of relevant experience, including experience working in customer service related fields

Required Skills/Knowledge:

Excellent organizational skills
Superior relationship building skills and the ability to interact with individuals at all levels in a confident, collaborative and professional manner
Proven ability to multitask
Be able to work independently; demonstrated self-starter and team player
Excellent verbal communication skills in person and on the phone
Excellent written communication skills
Proficient computer skills and familiarity with Google Suite and Microsoft Office
Ability to learn new software quickly and teach others
Be able to lift up to 30 lbs

Valid BC Driver’s License

Description

This is a permanent full-time position.  Schedule may vary according to requirements of responsibilities – some weekend and evening work will be required.  Regular (mostly local) travel is required.

Normal location of work is at 75 Tillsley Drive, Kitchener, ON N2E 3T1

This position is considered a management position for the purposes of the Employment Standards Act of Ontario and as such is not covered by various ESA rules, including but not limited to those related to hours of work, daily and weekly rest periods and overtime compensation.  Salary is based on average minimum 40 hours per week. Hours worked are compensated through the annual salary amount.

KEY RESPONSIBILITIES:

Program and Service Responsibilities:

  • Provide oversight and leadership to PCRC and Community and Family Services programs, supported by the Corps Officers/Executive Director(s) and special events
  • Ensure a spiritual dynamic, and focus, in all programming, including facilitated access for clients to Corps Officer(s) for pastoral services and other church-based programs.
  • With the support and input of the Corps Officers/Executive Director(s) assist in the development of strategic planning for the ministry unit, securing necessary approvals from the Mission Board and DHQ/THQ, where appropriate, for new programs.
  • Support the Mission Board and Corps Officers/Executive Director(s) to research, plan, develop, prepare and deliver creative and innovative community programming designed to address community needs and to strategically engage the Corps membership to volunteer/assist in its implementation.
  • Work with the Corps Officers/Executive Director(s) and Mission Board to develop a committee, if necessary, that will assist with the planning, developing, and executing of strategic initiatives for Corps and Community Ministries in the Kitchener-Waterloo areas.
  • Operate within effective change-management, organizational development, and staff engagement principles to promote service excellence and develop strong teams.
  • In extreme circumstances (i.e., holidays) may provide direct client care and/or intake services.
  • May be required to assist with the EDS ministry after normal working hours (i.e., fire)

 

Human Resources:

  • Responsible for the direct and indirect supervision of the non-supervisory staff and PCRC manager; provide direction regarding tasks or consult in assignments.
  • Oversee and/or directly manage, in consultation with the Corps Officers/Executive Director(s), effective human relations practices in consultation with the Regional Director of Human Relations or designate.
  • In consultation with the Corps Officers/Executive Director(s) provide input into all human resource decisions
  • Work with the managers/staff to develop/implement strategies to promote staff engagement and retention.
  • Submit and act on incident reports, deal with staff and client complaints, advising/consulting Corps Officers/Executive Director(s) and Divisional Human Relations as needed.
  • Grow, develop, and coach manager(s)/staff.
  • Ensure all staff are trained and follow best practices, policies, procedures, and protocols.
  • In consultation with the Corps Officers/Executive Director(s) implement and support on-going succession plan for the Ministry Unit

 

Financial and Administration:

  • Establish, maintain, and adhere to the ministry unit budget in compliance with operating and administrative guidelines; authorize and monitor all financial
  • Maintain and promote positive working relationships/partnerships and communications with funders and community stakeholders
  • Negotiate contract renewals with funding bodies; identify and pursue opportunities to enhance program delivery by seeking new government funding sources with Divisional approval.
  • Analyze statistical and financial reports for strategic planning and funding negotiations
  • Provide direction, advice, and guidance to manager(s)/staff on program matters

 

Policies, Procedures and Best Practices:

  • Develop, establish, and implement MU policies and procedures to achieve compliance
  • Ensure that all policies, procedures, and protocols are up to date and meet compliance requirements, reviewing all on a regular basis (minimum yearly).
  • Assist the Corps Officers/Executive Director(s) to ensure that the Ministry Unit and departments are prepared for accreditation and any/all audits including risk assessment etc.

 

Health and Safety:

  • Understand and work in compliance with the Ontario Health and Safety Act (OHSA) and Regulations and abide by The Salvation Army’s health and safety policies and procedures.
  • Ensure measures and procedures prescribed (OHSA) are enacted for protection of worker and workplace
  • Identify and implement effective practices for risk management for safety.
  • Ensure that equipment, materials, and protective devises as prescribed (OHSA) are provided and maintained in good condition.
  • Ensure that proper procedures are followed in the event of a workplace injury or illness and that incident investigations are conducted as applicable.

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

Education, Qualifications and Certifications:

  • Relevant University Degree, preferably in a Social Science. Master’s degree would be an asset.
  • First Aid/CPR Certification and Non-violent Crisis Intervention and Prevention Certification preferred or willingness to obtain.

 

Experience and Skilled Knowledge Requirements

  • Minimum of five (5) years of prior related experience working with marginalized clientele in a social service setting, including experience managing at a senior supervisory level, Human Resources, budgetary and property management.
  • Alternate combination of education and experience may be considered

  • Knowledge of current community challenges and opportunities relating to the mission of the organization.
  • Must have solid skills and experience using Microsoft Office software.
  • Valid Ontario Class G driver’s license, own vehicle and insurance, provide a driver’s abstract
  • Provide an original copy of a Background Check with vulnerable sector screening and Enhanced Security Clearance
