The Academic Affairs Officer participates in the administration of the Faculty’s academic administrative-related activities for departments, schools, institutes and other units reporting to the Deanery. Acts as a resource person for Chairs, Directors, faculty members and departmental administrators on policies, procedures and a variety of issues in the academic faculty lifecycle such as recruitment, immigration, tenure and promotion, sabbaticals, leaves, departures, etc. Acts as point person and liaison between the Faculty and departments/units and central University offices on academic affairs-related matters.
Primary Responsibilities:
1. Advises departments, Chairs and academic/administrative staff with respect to academic policies and procedures governing recruitment, immigration, appointment, academic salary administration, leaves, termination and retirement.
2. Ensures Faculty/University policies and procedures are respected. Acts as point person for dissemination of information pertaining to updates/changes in academic affairs policies, procedures, and information. Provides clarification in these matters.
3. Reviews tenure-track recruitment files to ensure accuracy and completeness of documents on Centre Stage and compliance with policies and procedures. Reviews and drafts letters of offer to ensure accuracy and compliance with policies and procedures.
4. Work with various collective agreements and several employee groups and ensures coherent and consistent application of University policies and of collective agreements pertaining to contract academic staff
5. Ensures the smooth functioning of reviews and search committee processes for Chairs and Directors. Initiates the Chair/Director selection process and participates in the administrative aspects of the process including recruitment of the Dean’s representative, ballot process and ensuring regulations are followed.
6. Administers the Faculty-level tenure and promotion process including liaising with departmental Chairs and administrative staff, candidates and Academic Personnel Office.
Other Qualifying Skills and/or Abilities
Experience working in a university or similar institutional environment. Knowledge and experience in advising on academic dossiers especially pertaining to hiring, promotions, immigration, salary policy and leaves. Experience in creating and processing academic appointments. High level of interpersonal skills and discretion with proven ability to prioritize and administer multiple projects simultaneously, work under pressure and meet deadlines in a rapidly changing environment. Client-focused and service-oriented with a proven ability to work with individuals at all levels and deal effectively and diplomatically in delicate situations. Proven ability to take initiative. Proficiency in a PC environment using word processing software, spreadsheets, database and presentation software. Experience with Banner (SIS), Academic Jobs Online, Drupal and Minerva is an asset. Excellent communication skills both in English and French, spoken and written.
