Job Summary
Dalhousie Student Health & Wellness services are easily accessible and geared toward the unique physical and mental health needs and concerns of students. Reporting to the Director of Operations and as part of the administrative team, the Front Desk Clerk will provide necessary clerical support for the efficient and smooth running of the Health & Wellness Centre. The Student Health & Wellness Centre averages approximately 300 calls and 250 clients per day during peak periods.
Key Responsibilities
- Provide reception duties at the front counter of the Student Health & Wellness Centre.
- Use electronic health records (EHR) system to obtain client demographics, and insurance information as appropriate; prepare and update client charts and associated records; book appointments, and check in clients.
- Answer telephone inquiries from clients; screen calls to determine the nature and urgency of inquiry; refer calls and book appointments as appropriate; instruct clients as needed regarding administrative and/or logistical procedures.
- Provide support in nursing office including collection and labeling of specimens in preparation for delivery to the lab, collection and recording of patient information in EHR, relaying a variety of messages from physicians to patients, etc.
- Stock medical instruments and supplies in exam rooms and nursing stations. Collect used instruments and clean/sterilize and package for new use.
Note
This position currently has a 35-hour weekly schedule from Tuesday-Saturday, and works in bi-weekly rotation with a second C5 Front Desk Clerk position to cover closing duties for the Centre (Tue-Thu 7 pm, Fri 6 pm, Sat 5:30 pm during Fall/Winter; and Tue-Sat 5 pm in Spring/Summer). Scheduling is subject to change with appropriate notice based on operational requirements and in accordance with the collective agreement. Position requires moderate physical lifting of up to 25 lbs.
Qualifications
Medical Office Administration program with approximately one to three years’ medical office experience (or equivalent combination of training and experience) is required. Excellent working knowledge of medical terminology is essential. Demonstrated ability to work in a busy, fast-paced environment with a wide variety of clients and to handle confidential information in accordance with PHIA, PIPEDA, and FOIPOP. Attention to detail is essential along with good organizational, time management and prioritization skills. Demonstrated excellence in customer service, teamwork and intercultural competence as well as strong communication (verbal and written) skills. Basic computer skills (word processing, email, spreadsheets, and internet) are required. Proficiency in electronic health records as well as past working experience with youth and/or university students are highly preferred.
