Business Office Assistant

The Business Office Assistant supports the Vice Chancellor of Finance and the Director of Finance and is responsible for daily operations of the Business Office.

MAJOR RESPONSIBILITIES:

  • Provide quality customer service to students, faculty, and staff by serving as the main contact for the Business Office
  • Accept and apply cash/check payments for student or third-party payments
  • Assist students with navigating MyIvy and Bank Mobile sites to obtain balances, payment options, etc.
  • Assist with all aspects of the Business Office to include daily review of all cash receipts, cash receipt forms, and ensure cash transfers are in accordance with College policy.
  • Complete bank deposits and required tracking sheets.
  • Balance cash drawer on a daily basis.
  • Provides review of pre-collect and collection reporting.
  • Assist in the timely invoicing for all campus student and third-party accounts, including, veteran affairs, TEACH, skills training partners, AYD, etc.
  • Apply accurate student account and sponsor coding when needed.
  • Review and take action on system generated and Systems Office reports daily.
  • Analyze reports to determine amounts to be invoiced to sponsors.
  • Communicate and follow up with employers or customers that have delinquent balances. Escalate delinquencies as appropriate.
  • Complete vendor applications and utilize external vendor systems for purposes of submitting invoices and generating payments for receivables.
  • Assist with communications, interactions, and problem-solving involving student accounts.
  • Perform general office duties such as counter service and answering telephone.
  • Maintain proper internal contracts and compliance of College policy and procedures.
  • Perform other duties as assigned.

COMPENSATION: $17.02 per hour/Full-Time position

EDUCATION AND EXPERIENCE:

  • High school diploma or equivalency is required. Associate’s degree preferred.
  • Three years of work experience in accounting and or a business-related field required.
  • Accurate keyboarding skills, proficiency in Microsoft Excel and Word, and business math are necessary.
  • Must be flexible, able to maintain confidential information, and deal effectively with students and staff in a courteous manner.

OTHER REQUIREMENTS:

This is an on-campus position. Normal work hours will be when the campus student services office is open, typically Monday – Friday 8:00-5:00pm, but may include alternative hours on occasion.
