The University of Toronto Libraries system is the largest academic library in Canada and is consistently ranked in the top ten among academic research libraries in North America. The system consists of 40 libraries located on three university campuses: St. George, Mississauga, and Scarborough. This array of college libraries, special collections, and specialized libraries and information centres supports the teaching and research requirements of over 300 graduate programs, more than 70 professional programs, and about 700 undergraduate degree programs. In addition to more than 15 million volumes in 341 languages, the library system currently provides access to millions of electronic resources in various forms and over 31,000 linear metres of archival material. More than 150,000 new print volumes are acquired each year. The Libraries’ data centre houses more than 500 servers with a storage capacity of 1.5 petabytes. 

Your Opportunity:

Working with a team of Archivists under the general supervision of the University Archivist, the Reading Room Coordinator will help researchers access the largest university archives in Canada – University of Toronto Archives and Records Management Services (UTARMS). The Reading Room Coordinator will coordinate the workflow, maintain security and enforce proper handling of rare materials. The Reading Room Coordinator will act as a workflow leader, maintaining the work schedule and training both full-time and part-time staff to perform all the required tasks. This position will explain Reading Room rules and procedures to patrons (and enforces these), regularly monitor workflow management software for archival material requests, oversee the hold shelf and tracks books requested for classes and ensure that materials are processed and returned for shelving. The Reading Room Coordinator will work with the Department Head on the modification and development of Reading Room practice and protocol as needed. The Reading Room Coordinator will provide searchable metadata in the form of bibliographic and authority records added to the online catalogue for the archives’ print materials which have a particular focus, e.g., language, physical format, subject area, or type and prepares final cataloguing copy for library materials and edits them according to local policies, practices, and procedures.

Required Qualifications:

Education: University graduation required; or an equivalent combination of education and experience. 

Experience: Minimum of two years of related experience working in a research or academic library setting required. Working knowledge of the library’s online cataloguing system required; working knowledge of international cataloguing standards and MARC formats required. Working knowledge of the library’s online cataloguing system required; Knowledge of the University structure and library web pages may be required. 

Skills: Working knowledge of word processing, spreadsheet, scanning software and e-mail software required; Basic knowledge of languages other than English may be required; Excellent attention to detail required; Experience providing instruction and staff training desirable
