General Purpose

Psychology is an active and dynamic department in research and academics with 34 faculty, 5 staff, and 6700 students offering more than 150 courses in a year. Reporting to the Administrative Assistant to the Chair, this position plays a key role in enhancing the student experience in the Department of Psychology, where there has been a sharp increase in student enrolment.

Duties and Responsibilities

As the primary point of contact, this person will be responsible for warmly greeting students, visitors, and faculty in person, by email, and by phone. As a knowledgeable department guide, the Administrative Support person will be able to quickly identify the visitors needs and guide them in efficiently navigating to the best fitting service/person within the department, College, or university. They will perform key tasks integral to the academic and research operations of the department in addition to supporting the roles and functions of the Psychology administrative team (i.e. coverage, special project support). They may also occasionally assist CSAHS departments or support units. 

Using University forms, systems, procedures and policies, the incumbent will also be responsible for work orders, key distribution and departmental communication. This role will be the primary contact in Psychology acting as the main front desk representative within a fast-paced, busy office environment. The incumbent will also be responsible for all office supply ordering, room bookings, and hospitality orders, and will act as back-up for other departmental administrative personnel. 

Requirements

  • Post-secondary education (e.g. one (1) year college program in office administration or related field) and a minimum eighteen (18) months of experience preferably in an academic environment, or an equivalent combination of education and experience
  • Proven ability to work effectively as part of a team
  • Excellent computer skills including Microsoft Office Suite (Excel, Word, PowerPoint, Outlook), OneDrive, and SharePoint
  • Familiarity with University-based information systems such as FRS, Concur, WebAdvisor, and Colleague is preferred
  • Ability to perform tasks with a high degree of accuracy while dealing with constant interruptions is mandatory
  • Very high level of written and verbal communication skills
  • Strong organizational skills
  • Ability to work under pressure in time sensitive environment with often competing deadlines
  • Proofreading skills and high attention to detail
  • Some knowledge of university policies/procedures, administration and university divisions and departments is considered an asset
