Job Duties/Qualifications, Skills and Abilities(QSA)

Job Duties

1. Provides general receptionist duties to students and the general public, including the Attendance line. Provides appropriate information/referral.

2. Provides administrative support services to the Program Heads in Adult 12 and Adult 10.

3. Provides clerical support for student locker and textbook tracking.

4. Files in a timely and accurate manner, and ensures confidentiality as required.

5. Word processes materials, reports, or other projects as assigned. Drafts correspondence as required, replies to routine matters and requests for information.

6. Operates office equipment and monitors photocopying usage.

7. Enters student attendance into Banner and files documentation; prepares attendance reports as needed.

8. Attends staff meetings as required; records, transcribes and distributes minutes when necessary.

9. Prepares purchase requisitions as required.

10. Occasionally receives, identifies, and facilitates distribution of shipments arriving as a result of purchase requisitions.

11. Provides assistance/coverage in the absence of other administrative support staff and/or in overload situations.

12. Communicates effectively and works well in an interdependent team environment.

Specific Accountabilities

Required Qualifications, Skills and Abilities (QSA)

1. Complete Grade 12 plus a recognized secretarial certificate/diploma or an equivalent combination of training and experience.

2. Training and/or experience at the intermediate level in the use of common software packages, i.e. MS Office Suite.

3. Training and/or experience in minute taking and transcribing minutes.

4. Knowledge of common office procedures.

5. Minimum one year recent and relevant experience performing administrative and clerical work.

6. Effective interpersonal skills.

7. Effective communication skills.

8. Effective organizational skills.

9. Effective proofreading skills.

10. Ability to work independently under generalized supervision.

11. Demonstrates valuing diversity.
