Administrative Assistant, Academic Dean

Applications are invited for the position of Administrative Assistant, Academic Dean for the Canadian Food and Wine Institute located at the Daniel J. Patterson campus. The starting salary is $25.63/hr for a 24 hour work week, potentially increasing to 35 hours per week based on operational need. This is an Appendix D temporary position as per Article 17.3.1 of the Support Staff Collective Agreement and is set to conclude September 2022.

Reporting to the Dean, Canadian Food and Wine Institute, the successful candidate will provide administrative support to the Dean to ensure the efficient operation of the divisional office and related operations. The incumbent coordinates all office activities related to the division by orienting and assisting other staff positions and acts as liaison to faculty and admin staff within the division as required. This role is typically the first point of contact for all outside inquiries to the division for information or issues requiring immediate attention. The incumbent works independently and must exercise initiative and good judgement, sensitivity and confidentiality in dealing with a variety of clientele, including college staff, students, the general public, industry representatives, government officials and international visitors.

Responsibilities include, but are not limited to:
Provides administrative support to the Dean by making recommendations and resolving inquiries/concerns from students, faculty, administrative staff and the public

Investigates, recommends and implements new procedures or practices to improve divisional operations and to promote team effectiveness and service excellence within the academic division

Provides research for special projects, capital projects and program reviews

Investigates, organizes and prepares reports at the request of the Dean

Supports the Dean on college wide committees, Program Advisory Committees and community initiatives

Supports the Dean in the development and implementation of divisional budgets

Provides assistance to the Dean for new full time and part time staff hiring

Provides ongoing support on any issues that may arise within the Division

Qualifications:
Two (2) year diploma in a similar field of study (e.g. Office Administration, Business Administration)

Minimum three (3) years practical experience in office administration in an educational, government, or large business environment

Demonstrated communication, organizational, problem solving and prioritizing skills

Proven abilities in working independently, exercising initiative and good judgement, sensitivity and confidentiality

Excellent customer service and public relations skills

Strong working knowledge of Microsoft Office – ability to effectively use Excel and collate data for management reports

Experience with enterprise resource planning systems in an educational environment is preferred

Experience in the Hospitality or Food and Beverage industry is considered an asset
