About us:

The First Year Office helps incoming students make a successful transition to a new and exciting learning environment at the Faculty of Applied Science and Engineering. Our staff enjoy guiding and assisting students. We aim to give incoming first years students the tools needed to make informed decisions during this transition period and plan their remaining years at the University with ease.

Your opportunity:

As part of the First Year Office team, you will have the opportunity to work collaboratively with faculty, students and staff to provide a transition experience for first year engineering students that supports a thriving framework that encompasses engaged learning, academic determination, positive perspective, social connectedness, and diverse citizenship. You will be the first point of contact for new incoming students and will have the opportunity to welcome students into the engineering community, provide guidance, and facilitate connections. The First Year Office provides student support through front-line advising, in depth academic advising, and transition and student success programming. The First Year Coordinator is also part of the Faculty of Applied Science and Engineering Student Services team that is dedicated to professionalism and delivering a high standard of service in all of its operations.

Your responsibilities will include:

  • Acting as the first point of contact for general enquiries to first year students
  • Organizing materials for First Year related workshops, conferences and/or events
  • Creating and updating student records
  • Collating and organizing data for various reports
  • Coordinating appointments to ensure urgent situations are given priority
  • Resolving issues within the scope of the role and escalating problems as required

Essential Qualifications:

  • Bachelor’s Degree or acceptable combination of equivalent experience
  • Minimum two years’ recent and related experience in a front-line service role working directly with students providing program and course information in a university or educational environment
  • Experience providing front line student support and providing information regarding admissions, fees, enrolment and other student related issues
  • Experience working with ROSI and Degree Explorer or equivalent student information systems including extracting information, reports, updating records, etc.
  • Experience with Faculty of Applied Science & Engineering academic policies, procedures, regulations and program offerings
  • Excellent communication (verbal and written) and interpersonal skills
  • Intermediate skills in Microsoft Office products including Excel, Word and PowerPoint
  • Ability to work independently and as a team member
  • Proven ability to exercise judgment, tact, diplomacy
  • Ability to manage multiple tasks and meet deadlines
  • Ability to exercise patience, compassion, sympathy, and empathy are key

Assets (Nonessential):

  • Experience creating databases and developing and maintaining websites is a strong asset

Pay Scale Group & Hiring Zone:

USW Pay Band 09 — $66,715. with an annual step progression to a maximum of $85,319. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
