Position purpose:
Assists in the planning of all Bilingual, French and English, sociocultural and educational programming (Campus Events) on the central and satellite campuses, as well as within the Carrefour francophone. Responsible for the successful operational coordination, logistics and execution of all Programming activities and in so doing provides our students with an extraordinary student experience and contributes to all campus stakeholders’ sense of belonging. The incumbent contributes to the support and enhancement of Student Experience and Support, Campus Events mission, image and reputation with key internal stakeholders as well as with key members and groups outside the University.
In this role, your responsibilities will include:
- Participates in the strategic planning process for Programming in order to ensure that critical operational elements which will contribute to the successful delivery of activities are integrated, and to ensure ongoing engagement with and awareness of overall Campus Events objectives.
- Responsible for the coordination and orchestration of events and activities in collaboration with key partners; ex: Conventions and Reservations, Technical Services, Sports, and Residence Life, and Corporate Communications and Faculties using project and event management techniques to prepare detailed schedules and to identify critical dates and deadlines that will ensure the Campus events and activities are delivered on time and within approved budgets.
- In collaboration with Faculties, Student Associations, UOSU and GSAED Executives and other key internal Services, contributes to the successful operations, planning, coordination, logistics and execution of all Welcome Week activities designed to welcome our students and assist them in successfully integrating student life on campus. Participates in the development of mechanisms to help identify the needs and interests of our student population that will help guide sociocultural and educational Programming, measure client satisfaction, analyse results and make recommendations that will inform future Programming for Welcome Week.
- Arranges venue preparations and negotiates facility arrangements both on and off campus; as well as identify and coordinate University support services such as Conventions and Reservations, Physical Resources, Protection, Multi-Media Distribution, Residence life and other areas as needed for events and activities.
- In collaboration with Procurement Services, assists the Supervisor, Campus events in the preparation of Service Contracts and Agreements.
- In collaboration with Campus Events Marketing Strategist and with the Communication Directorate, assists and supports the Campus events supervisor to ensure error-free correspondence and promotional materials such as programs, invitations, ads, web site, and presentations for events with the objective of upholding the positive image of uOttawa and its activities.
What you will bring:
- A postsecondary education in the field of Event Management and Planning or a combination of related studies and experience.
- Knowledge of generally accepted social and University procedures of etiquette and protocol, an asset.
- A minimum of 3 years experience in the planning of public events that includes the operational coordination, logistics and execution of such events.
- Experience using computer systems and software such as: word processing, databases, spreadsheets, e-mail and internet.
- Excellent organizational and time management skills.
- Experience and demonstrated ability in the management of several projects at the same time.
- Demonstrated ability in communicating and relating positively with a multi-cultural and diversified clientele.
- Strong organisation and negotiation skills.
- Excellent ability to work under pressure with minimal supervision and to demonstrate critical reasoning skills.
- Creative thinker.
- Available to work evenings, weekends and holidays and according to a flexible work schedule.
- Valid driver’s licence and access to a personal vehicle (as required).
- Bilingualism-French and English (spoken and written).
