        Responsibilities
        
                        Position Purpose Summary:
Boundless Vancouver Community Ministries organizes The Salvation Army Boundless Vancouver Christmas Toy Shop for children and families. The Christmas Volunteer & Donation Coordinator works with our Boundless Vancouver team to organize our volunteers and coordinate donations for The Christmas Toy Shop and the Christmas Luncheon.
BASIC FUNCTIONS/RESPONSIBILITIES:
Volunteer Coordination: 

Works in conjunction with and in support of The Christmas Toy Shop by identifying and promoting volunteer opportunities
Recruit, screen, register & orient appropriate volunteers to fill positions
Process necessary paperwork, including Criminal Record Checks and volunteer agreement packages
Deploy volunteers to positions relevant to their interests and skills
Help orientate and supervise volunteers while they are deployed to their positions
Keep thorough records of volunteer information and hours of service for statistical purposes

Donation Coordination: 

Work in conjunction with and in support of the Christmas campaigns, identifying the financial and in-kind donation needs for Christmas distribution
Solicit financial and in-kind donations and correspond in a timely manner with individuals and corporate donors in the community; organize toy drives with companies and organizations in the community
Coordinate drop-off and pick up schedule with donors and driver(s)
Help coordinate with divisional Public Relations team for the Toy Mountain event
Relay donated items to the appropriate personnel for proper storage and distribution
Keep thorough records of donor information and donated items/amounts & maintain a positive relationship with our donors
Perform other duties as assigned

 
                    
                

        Qualifications
        
                        Education/Certifications:

Post-secondary education and work experience in fund-raising, donor relations, public relations

Experience:

One (1) to three (3) years of relevant experience, including experience working in customer service related fields

Required Skills/Knowledge:

Excellent organizational skills
Superior relationship building skills and the ability to interact with individuals at all levels in a confident, collaborative and professional manner
Proven ability to multitask
Be able to work independently; demonstrated self-starter and team player
Excellent verbal communication skills in person and on the phone
Excellent written communication skills
Proficient computer skills and familiarity with Google Suite and Microsoft Office
Ability to learn new software quickly and teach others
Be able to lift up to 30 lbs

 
PREFERRED SKILLS/capabilities: 

Valid BC Driver’s License
Background check consent
A clear vulnerable sector screening
A clean drivers’ abstract
Completion of online Armatus Abuse Prevention Training and required Health and Safety training

The Program Activity Assistant will complete varied tasks providing support to department leaders.

KEY RESPONSIBILITIES:

Key Responsibilities:

Administrative

  • Answer telephone & direct or respond to calls promptly.
  • Remain up-to-date and proficient in use of all office equipment.
  • Process all necessary paperwork and office related duties in a timely fashion to meet all deadlines.

Food Bank

  • Enter client registrations into the Link2Feed program in a timely and accurate manner; document assistance in Link2Feed.
  • Ensure that clients’ needs are met in compliance with Salvation Army policies and in cooperation with other agencies
  • Ensure food donations are organized to date and appropriate locations; utilize “First in First out” {FIFO} food management system.
  • Assist with organizing food in the warehouse ensuring that it is neatly stocked.
  • Assist with cleaning of the Food Bank

Food Services

  • Assist in the preparation of a nutritious menu and serve food for Supper Meal programs in accordance with applicable food, health, and safety regulations.
  • Duties include, but are not limited to; food prep, cooking, dish washing, serving meals to our clients and clean-up after dinner service.
  • Maintain a high level of cleanliness at all times within the kitchen and storage areas; take out recycling and garbage as needed.
  • Monitor food service inventory: food packaging supplies and fresh and frozen food in dry pantry, warehouse and refrigeration units while ensuring to keep track of best before and expiry dates.
  • Warehouse and Lunchroom: organization of donations, cleanliness in the kitchen and pantry sanitizing common spaces (tables) after each use, clean-up, sweeping, mopping after dinner service.

Health and Safety

  • Report any Health & Safety infractions, issues or concerns to management and worker representative.
  • Help to keep fire exits clear and assist in the “Tidy Maintenance” of the building.
  • Know the Fire Evacuation plan, locations of Fire extinguishers and first aid stations.
  • Report any infractions of Policies & Procedures to the Manager.

 

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

Qualifications and Education requirements:

Education/Certifications:

  • Completion of some Secondary School.
  • Safe Food Handlers Certification or willing to obtain.
  • This position is funded in part through the Canada Summer Jobs Program and the following represents the applicant criteria:
    • be between 17 and 30 years of age at the start of the employment,
    • be a Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act for the duration of the employment; and,
    • have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations.
  • Provide an original copy of a Background Check screening that is satisfactory to The Salvation Army, in its sole discretion, is required.  The screening is secured either through the national Canadian Police Information Centre (CPIC) or through a local police detachment.
  • May require screening through The Salvation Army Abuse Registry.

Experience:

  • Food preparation experience is an asset.
  • Previous customer service experience is an asset.
  • Proficient computer skills including MS Office, Excel, Data Base Management, etc.
  • Proficient typing skills in order to input client’s information into the Link2Feed computer system in a timely manner
  • Comfortable and capable of working routinely in an environment of emergency type service condition surrounded by active mental health and addition related client concerns.
  • Develop an understanding and support for the mission and purpose of The Salvation Army in Canada and its implications as related to position responsibilities.

Required Skills/Knowledge:

  • Attention to detail, problem solving and analytical skills.
  • Self-motivated and disciplined.
  • Strong sense of integrity and confidentiality with professional ethics.
  • Organized, hardworking, dedicated, and creative.
  • Experience working with children is an asset but not required.
  • Able to work well independently and as in a cooperative team-oriented atmosphere.
  • Good communication skills, both verbal and written.
  • Pleasant and courteous manner.
  • Ability to work under pressure of time constraints.
  • Be available for full 8 weeks of program.

HOURS: To be determined in consultation with your supervisor. Shifts will include work between the hours of 10am and 6pm, Sunday to Saturday as per operational requirements and includes a ½ hour unpaid meal break where applicable
