Description
The summer student will be responsible for providing standard clerical duties such as answering incoming inquiries, managing appointment calendars and filing. In addition, the office administrator looks after office supplies, process incoming and outgoing mail, compose and send correspondence, oversees the maintenance and operation of office equipment
KEY RESPONSIBILITIES:
- Performs general office duties such as answers telephone and directs enquires and answers inquires; greets visitors and directs them to the appropriate person(s); files documents electronically or manually; photocopies and distributes materials as requested; and sends and receives fax/email material as requested.
- Opens and distributes in-coming mail and processes out-going mail; receives parcel(s) and distributes to the appropriate person(s).
- Uses word processing for routine documentation such as forms, letters, memo, email and may keep records; checks typing for accuracy, sorts and prioritizes typing assignments within general guidelines.
- Ensure office environment (supplies, etc.) and equipment are effectively managed and ready for use at beginning of day and secure at end of each day.
- Orders all stationery supplies and maintains adequate office supplies and other supplies as needed (e.g. kitchen or lunchroom supplies); arranges for maintenance of office equipment.
- Collects and compiles payroll time sheets and time and attendance reports for monthly submission.
- Communicates and interprets administrative and operating policies and procedures.
- Assists in the preparation and coordination of records, statistics and reports regarding operations, etc.
- Handle customer complaints, staff maintenance requests and other concerns according to Salvation Army policies.
- May be required to provide coverage to other staff as required (i.e., cash out customers, shipping & receiving and driving).
- Participate with special events, orders, and projects and annual inventory counting.
- Other duties and special projects as assigned.
QUALIFICATIONS AND EDUCATION REQUIREMENTS:
The successful candidate must meet the following requirements under the Canada Summer Jobs Program:
- Between 15 and 30 years of age at the start of employment
- Canadian citizen, permanent resident or person on whom refugee protection has been conferred
- Is legally entitled to work according to the provincial / territorial legislations and regulations
Education:
- The successful job applicant will have completed High School, plus specialized courses of up to six (6) months.
Experience and Skilled Knowledge Requirements:
- More than three months but less than one year of prior related experience, including, clerical/reception/secretarial experience.
- Proficient use of Microsoft Office applications, Microsoft Outlook, and Windows 10 Operating System.
PREFERRED SKILLS/CAPABILITIES:
- Must possess excellent Microsoft Office Excel, Word, Power point and Office 360
- Must possess excellent time management and organizational skills
- Ability to handle difficult situations and conversations with tact and build solid, lasting relationships.
- Provide good customer service at all times
- Ability to think outside the box and handle unforeseen challenges related to event administration
- Be a strong, enthusiastic team player
