Position Description

OCLS is a not-for-profit organization, funded by the Ministry of Colleges and Universities (MCU) to support the publicly assisted colleges and their libraries in Ontario. We have a reputation for strong financial management and the college libraries trust us to manage over $7M of their funds annually. We are looking to engage an experienced Finance and Accounting Associate to cover a staff leave. The Finance Associate is accountable for undertaking a wide range of accounting, finance, and administrative duties for OCLS, with support from a third-party financial services partner and consultant. Duties include reviewing, recording and tracking revenue and expenditures; preparing invoices for payment; preparing journal entries; creating and maintaining financial transactions/reports; undertaking financial analysis; preparing financial reports and forecasts; assisting with year-end activities and annual audit; monitoring banking functions, and maintaining various financial records. This position works with sensitive and confidential budget and salary information. This would be an excellent career opportunity for a self-directed individual with a solid foundation in finance and accounting.

Key Responsibilities include:

Finance/Accounting/Banking

  • Responsible for the accuracy and completeness of revenues and expenditures related activities
  • Review monthly documents provided by financial services provider and take corrective action when necessary
  • Prepare journal entries as needed
  • Perform monthly/quarterly account reconciliations and financial reviews to ensure accuracy
  • Prepare bank deposits and monitor bank transactions, balances and accounts
  • Prepare electronic transfers and U.S. dollar wire transfers as needed

Financial Analysis, Forecasting and Reporting

  • Monitor expenses, track financial data and provide regular variance analysis
  • Prepare regular financial reports and forecasts with support from the finance consultant

Budget and Audit Preparation

  • Assist in the development and preparation of annual budget
  • Review and update operating budget monthly
  • Assist in the annual year-end audit

Other Duties

  • Respond to inquiries and requests from staff, managers, customers and vendors
  • Provide general administrative support and other duties as requested

Desired Qualifications

  • A three year post-secondary degree, diploma or equivalent in Accounting, Finance; Business Administration
  • Minimum three (3) years financial office support experience
  • Experience working in a small business/not-for-profit accounting and finance environment using up-to-date computer applications and technology
  • Knowledge of standard accounting and finance processes and practices
  • Experience working with Navision (Microsoft Dynamic NAV) or similar accounting software
  • Advance skills using Microsoft Office 365, especially Excel, Outlook, Word, and meeting and collaborative tools (e.g. TEAMS and/or Zoom)
  • Proven ability to work both independently and as part of a team
  • Strong verbal and written communication skills including the ability to prepare financial reports
  • Superior organizational skills; ability to multi-task and plan effectively
  • Demonstrated commitment to outstanding customer service and excellent interpersonal skills
  • Effective analytical and problem-solving skills
