Job Description
This position is responsible for overseeing and coordinating the submission process within the College’s Education Approvals system. In developing and supporting effective processes to guide formal curriculum approvals, the coordinator works directly with School Curriculum Committees; the Integrated Curriculum Committee (ICC); Education Council (EdCo); faculty, chairs and administration college-wide; and the Office of the Registrar. This position works closely with and serves as a key support to both ICC and EdCo, including their standing committees and special projects that may emerge.
On a day-to-day basis, this position provides advice related to approvals processes, systems and related educational policies; directs decisions to the appropriate authority based on policy requirements and the college’s established practices; and initiates, develops and maintains various interrelated educational approvals support systems. Under the general direction of the Director, Education Policy & Planning, the coordinator additionally plays a key role in a variety of strategic projects and initiatives undertaken within the Office of the Vice-President Education. Travel between campuses is a requirement.
TYPICAL DUTIES
Analysis and Evaluation

  • Works independently and with authority in the review of all curriculum proposals to ensure they are completed to standard and that established process has been followed;
  • Applies and interprets education approval guidelines in recommending approval of curriculum;
  • Identifies and brings forward to the appropriate authority those issues related to educational standards that require broader consideration;
  • Conducts research on issues of significance to the education approvals process, Education Council or VP Education and brings forward advice or recommendations to key stakeholders.

Education Approvals Leadership and Coordination

  • Oversees and coordinates the submission and communication of curriculum proposals as they emerge from schools/departments and progress through formal approvals structures;
  • Leads and/or participates in the resolution of disputes/misunderstandings related to curriculum issues of a cross-departmental nature;
  • Ensures that the interests of all individuals/groups with legitimate vested interests are included in the consideration of curriculum proposals;
  • In collaboration with other departments, participates and/or leads in the development of an online approvals system, its maintenance, and its renewal;
  • Works closely with other departments regarding the implementation of the official data related to course and program approvals;
  • Leads and/or participates in the development, maintenance and renewal of educational standards and/or related policies;
  • Supports the Vice President Education on governance related matters pertaining to curriculum and education approvals.

Curriculum Advisory Support and Communications

  • Develops and maintains a network with the individuals and units across the college involved in credentialed programming who play key roles in the curriculum approvals process;
  • Provides advice and constructive feedback on curriculum submissions and acts as the main resource person to program departments, curriculum committees and individuals involved in the college’s curriculum approvals process;
  • Leads and/or collaborates in the development and delivery of a breadth of curriculum communication materials and/or presentations that orient individuals and groups to the education approvals process and/or EdCo and ICC roles and responsibilities;
  • Serves as the link between various curriculum stakeholders and bodies at the college to support effective processes and issues resolution on a variety of curriculum threads;
  • Serves as the contact to the Ministry of Advanced Education regarding the submission and review of new program proposals.

Systems, Information and Records Management

  • Develops, maintains, and renews a variety of electronic communication tools and electronic filing systems – including a website, network and database – to support the documentation and transparent communication of curriculum and the educational approvals process at the college;
  • Maintains official electronic records of approved course/program descriptions and change forms.

Project Management and Support

  • Leads and/or collaborates with a steering committee and project teams related to the development, implementation and maintenance of education approvals systems and processes;
  • Manages components of and broadly supports strategic projects undertaken within the Office of the Vice President Education, including but not limited to: leading internal and external research on best and emerging practices related to a particular project or issue, coordinating project teams, managing project communications, and supporting project planning and identification of defined deliverables.

Performs other related duties similar in scope and complexity.

Qualifications
Bachelor’s degree in a relevant field and three years experience in managing projects related to coordinating activities throughout an organization with multiple stakeholders; or an equivalent combination of education and experience. Experience in curriculum development in a post-secondary environment, excellent organizational, presentation, written, oral and interpersonal communication skills. Superior accuracy and professional judgement is required. Demonstrated ability to work positively and professionally with a wide range of college personnel both in individual and group settings. An ability to mediate disputes, and recognize political/professional sensitivities is also required. Demonstrated ability to multitask, be self-directed, make decisions, meet deadlines, and accommodate changing priorities. High level of knowledge and superior competence in using Microsoft Office suite and SharePoint applications at the advanced level, specifically in a networked computer environment, and web publishing software.
