St. Clare’s Multifaith Housing Society is seeking a seasoned Director Finance and Administration to lead our growing finance team as we work to reduce homelessness in downtown Toronto.

ABOUT THE POSITION

St. Clare’s Multifaith Housing Society is seeking a seasoned Director Finance and Administration to lead our growing finance team as we work to reduce homelessness in downtown Toronto. This position will be responsible for management of the Finance and Administration Team’s operations, including general accounting services (i.e., data entry, accounts payable, tenant accounts, charitable receipts and government filings, financial analysis, report preparation and implementation of financial policies), IT services, and Human Resources. 

As a member of our Senior Management Team your skills, experience, strategic thinking, and wisdom will be essential to assist the organization as we continue to create more housing and find more effective ways to better serve our tenant population. As our Finance and Administration Leader, you will work closely with the Executive Director and other functional leads to help set budgets, prepare proposals, and be the go-to person for all things financial and administrative. This role is important in providing support for critical decisions for Senior Management and the Board of Directors both in the short term and in long-term planning.

ABOUT ST. CLARE’S

St. Clare’s is a non-profit affordable housing provider operating 7 apartment buildings in Toronto’s downtown core. Tenants are referred to our buildings and supported by partner agencies. Many of our tenants have experienced homelessness and manage challenges with mental health, substance use, and trauma.

St. Clare’s mission is to innovatively support tenants’ efforts to achieve stability by improving and expanding access to healthy, secure, safe, affordable, and diverse housing communities and long-term successful tenancies.

ACCOUNTABILITY

This is a full-time permanent position reporting to the Executive Director. You will supervise two staff initially with the intention to grow to three in the near future. You will also manage the relationship with our third party IT service provider and be located at a central location easily accessible by transit.

RESPONSIBILITIES

FINANCIAL PROCESSING AND REPORTING

Direct the preparation of all internal and external financial reporting, including income statements, balance sheets, budgets, projections, and tax returns.

  • Oversee the approval and processing of revenue, expenditures, department budgets, payroll, general ledger, and chart of account maintenance and data entry.
  • Collaborate with the Executive Director to take actions that maintain and improve the overall financial condition of the organization.
  • Responsibility for the development of and reporting against the annual operations department budget, including human resources, information technology and information systems and administration budgets to the board of directors.
  • Supervise and mentor members of the finance team.
  • Manage systems to monitor banking transactions, forecast cashflow requirements and treasury function.

FINANCIAL RESOURCE

  • Contribute financial analysis (i.e. proforma budgets and projections) for request for proposal submissions to the City and other granting bodies as required.
  • Support other functions in the organization with financial tools and analysis.

COMPLIANCE AND GOVERNMENT FILINGS

  • Meet on a timely and accurate basis all City, Provincial, and Federal reporting and filing requirements (HST, T3010, City of Toronto AIR).
  • Prepare for annual audit and other tax audits as required and keep up to date on latest developments in compliance matters. Gather information for HST and other compliance audits as required.
  • Ensure accuracy of donations and related record keeping.

INTERNAL CONTROLS

  • Ensure adequate internal controls and risk identification and management systems are in place.
  • Maintain and continue to improve all necessary processes to guard St. Clare’s assets, protect against fraud, and ensure that expenditures are approved and appropriate.  

INFORMATION TECHNOLOGY SERVICES

Oversee and maintain overall responsibility for all St. Clare’s IT requirements. Working with St. Clare’s External IT Service Provider, your team will:

  • Implement and monitor all automation and information technology programs, ensuring the effectiveness of programs and that goals, schedules, and budgets are met.
  • Review and advise on purchases of all hardware, software, and automation-related services.
  • Act as the Privacy Officer for the Company and ensure private information is stored, secured, and accessed according to Company policy and privacy rules and regulations.

HUMAN RESOURCES

Work collaboratively with the Senior Management Team to translate human resource needs into policy and actions:

  • Oversee the delivery of key HR programs including staffing, onboarding, salary, performance management, talent assessment, and succession planning.
  • Establish HR practices, policies, and structures to support business objectives. Ensure that all HR practices and policies are delivered in a fair and compliant fashion and are consistent with statutory and regulatory requirements.
  • Oversee Payroll functions including statutory deductions (CPP, EI, Tax), Employer Health Tax, WSIB, and pension contributions.
  • Provide financial and compliance supervision of employee benefit, pension, and benefit plans.

REQUIREMENTS

  • CPA designated with a strong preference for a CPA, CA.
  • 10+ years of post-designation experience, preferably 2 years at the comptroller/Director Finance and Administration or equivalent.
  • Experience in the property management, charitable, or nonprofit sectors would be an asset.
  • Strong written and verbal communication skills including demonstrated ability to write reports and deliver presentations.
  • Solid knowledge of Microsoft 365 apps such as Excel and Word and familiarity with accounting software such as SAGE, Quickbooks, Freshbooks, etc.

  • Strong analytical skills including financial and operational analysis.
  • Excellent aptitude and familiarity with account analysis, annual forecasts, and internal reporting.
  • Ability to deal tactfully with sensitive and confidential issues.
  • Ability to interact effectively and respectfully with individuals both inside and external to the organization.
  • Must be service oriented and responsive to the needs of Senior Management and other St. Clare’s staff.
  • Must have the ability to adapt to new technology and to be agile to respond to new opportunities at St. Clare’s.

ST. CLARE’S IS A GREAT PLACE TO WORK

  • Salary range is $105,000-$115,000 for a 37.5 hour work week.
