As the Board Office Operations Director, you will provide confidential organizational, operational, and strategic support to the Board of Directors.

Board Office Operations Director

Serves in the Office of the Board of Directors at the Corporate Office Building.

Oversees the primary administrative operations and responsibilities of the Board Office including the Freedom of Information Policy, the budget, communications, and supervision of clerical and secretarial staff. Performs related functions.

GENERAL RESPONSIBILITIES

Independently tracks issues, implements projects, and manages programs requiring Board action or approval, or as directed by the Vice President and Secretary.

Guides and directs the secretarial staff on reception assistance, telephone coverage, filing, typing, scheduling, travel planning, meeting arrangements, and other support activities.

Develops and administers policies related to the Board Office, such as the Board Travel Policy, Code of Ethics, and manages and oversees badge and parking renewals for Board members.

Administers, coordinates, and tracks incoming Freedom of Information requests received under the Airports Authority’s Freedom of Information Policy, develops responses to those requests and coordinates with the Office of General Counsel and Vice President and Secretary, as well as the Co-Chairs of the Risk Management Committee, as necessary, in responding to requests and appeals of responses.

Tracks responses to Board members’ inquiries by conducting research, establishing response schedules or deadlines, and ensuring timely delivery of responses, as directed by the Vice President and Secretary.

In conjunction with the Vice President and Secretary and the Assistant Secretary, oversees the nomination and confirmation of Board members and manages the orientation for new Board members.

Serves as the Board Office liaison to the Office of Information Technology to ensure seamless technical support for Board workshops and meetings.

Manages the Board Conference Room, office hardware and software needs, and assigned contracts related to Board Office needs.

Provides assistance to the Vice President and Secretary with strategic planning issues, including Board retreats, long-term planning, preparation of the Office budget, and updating operating procedures.

Researches specific topics or issues, compiles data, and prepares reports on findings.

Manages all subjects and issues with utmost confidentiality, particularly proprietary matters.

Attends meetings, presentations, or other events involving the Board of Directors; may represent the Vice President and Secretary at Airports Authority staff meetings, as assigned, or requested.

Ensures Board members have information and materials needed in both physical form and through the online Board portal, Diligent, to prepare for meetings and presentations.

Serves at the Board Office technical assistant in hosting virtual meetings of the Board and its Committees.

Sets standards for customer service and other office protocols and operating procedures.

Manages the Board Office public webpage and internal webpage (Compass) to ensure accuracy and timeliness of the distribution of Board information.

Prepares and enforces correspondence standards for reports, letters, memoranda, and other documents.

Performs other duties as assigned.

QUALIFICATIONS

Eight years of progressively responsible experience in office administration.

Six of the eight years of experience must include administration of a senior management or executive-level office, facility, or operation.

Skill in researching and writing professional-grade correspondence, reports, presentations, and meeting minutes.

Ability to anticipate the needs of senior executives and plan meetings and materials appropriately.

Knowledge of and ability to apply project management processes and procedures to guide the operations and programs of the unit/team.

Ability to prioritize work under tight deadlines.

Skill in managing multiple projects concurrently.

Ability to perform detailed analyses of data and information and make recommendations.

Ability to speak and write effectively.

Skill in using a computer and office suite software, with emphasis on word processing, spreadsheet, presentation, virtual meeting platforms, and scheduling systems/software.

PREFERRED QUALIFICATIONS

Experience as a Chief of Staff for a senior manager or executive of a public sector organization.

EDUCATION

A Bachelor ’ s Degree in Public Administration, Business, or related field.

CERTIFICATIONS AND LICENSES REQUIRED

A state driver ’ s license in good standing.

Work is typically reviewed in progress and upon completion for quantity, quality, timeliness, teamwork, customer service, and other factors.
