JOB SUMMARY
The Director of Operations reports directly to the COO and has responsibility for hiring, mentoring, evaluating performance, and disciplining the following reports:
Operations Manager
Fund Development and Communications Manager
Executive Chef/Manager of Food Services
Contractors
SCOPE AND PURPOSE
As a key member of the Executive Management team, the Director of Operations reports to the Chief Operations Officer (COO) and plays a strategic role in the overall management of the Society. The Director of Operations has primary day-to-day responsibility for planning, implementing, managing, and controlling all operations-related activities of the Society. This will include the direction, coordination, implementation, execution, control, and completion of Phoenix projects as well as operational, fund development and communications and accreditation requirements, while remaining aligned with strategy, commitments, and goals of the Phoenix Society.
Key Responsibilities
Strategic planning – Participates in strategic planning initiatives with the Executive Team and the Board.
Knowledge Management – Organizing, storing, and distributing the tacit and explicit knowledge generated by the organization, its customers and development of staff training.
Responsible for asset management. Coordinates staff in evaluating and monitoring the physical plant and operations of facilities.
Provides oversight for Phoenix’s Operations Team to ensure proper practices and adherence to Phoenix policies and procedures.
Oversees procurement including administration of contracts for physical management and leases of Society’s assets.
Provides oversight for Phoenix’s Operations Team to ensure proper practices and adherence to Phoenix policies and procedures.
Provides oversight for effective facilities management including preventative maintenance, building procurement and service contract management
Works with the COO and CFO to ensure the capital plan is accurate and updated annually to reflect current and future building improvement initiatives, including estimated costing.
Manages and maintains the Business Continuity Plan (BCP) including leading all BCP exercises with the Executive and Management teams.
Oversees crisis management in emergency situations including utilities and communication interruptions, fire, floods, break and enters, earthquake, etc.
Assists the COO in the maintenance of CARF Accreditation requirements including leading the Performance Improvement Committee to develop and maintain the Evaluation Framework.
Fund Development including grant applications, reports and other correspondence for prospective and current donors, government, foundations, and corporate funders.
Establish and promote interactive communication designed to educate, collaborate, partner, and promote the mission, vision and objectives.
Skills and Experience
Proven experience in project management and operations
Demonstrated ability to manage diverse teams
Experience overseeing construction projects with a demonstrated ability to lead projects of various sizes and see them through to completion
Understanding of Enterprise Resource Planning (ERP) implementation
Budget management experience
Qualifications
Education: A Master’s degree and professional designation in a relevant discipline, or equivalent mix of education and experience in a related field.
Experience: Minimum of 8 to 10 years recent, related experience in progressively more complex and senior management leadership roles in a large, multi-site organization, including significant experience with design, construction and maintenance of facilities projects and operations, preferably in a community setting.
Project Management Professional (PMP) certification with a strong understanding of formal project management methodologies
Other Skills & Experience
English: Fluent and able to effectively communicate professionally, orally and written, in English.
Diversity: Fluency in a language that reflects the diversity of the community is an asset
Client centered: experienced in providing a positive, person-centered environment, are friendly, welcoming and engage the Society’s constituents always in a non-judgmental, person-centered manner
Advanced Computer Skills: Windows, MS Word, Excel, internet, online research, email, databases
Team Building Skills: can work cooperatively with executive and management teams, able to promote good willingness to be involved in team planning and implementation of special projects.
Schedule: Full-time, Monday – Friday 8:30am – 4:30pm
