This is an exciting opportunity to be a member of a highly respected children’s mental health agency providing administrative support to the Executive Director, the Board of Directors and the Management Team. The responsibilities also include the oversight and maintenance of facilities and equipment and adherence to Health and Safety standards.

Responsibilities:
- Prepare and circulate meeting materials including minutes, agendas and document packages for a range of corporate meetings including Board, Management, All Staff, and other meetings as required. Oversee hospitality requirements for all agency meetings and events. Collaborate with the Executive Director to design and produce corporate documents including the Annual Report, Strategic Plan, and Annual Service Plan.
- Plan and execute corporate events, specifically the Annual Meeting, All-Staff Meetings and related activities, including expense approval and budget compliance.
- Assist in the development of key messaging and preparation of corporate communications to staff, funders, donors and other stakeholders.
- Provide executive support including reports, scheduling and filing systems.
- Maintain facilities to meet the needs of staff and clients.
- Provide support to admin team as required
- Maintain the Policy and Procedure Manual for the agency
- Serve on the Health and Safety Committee and advise on health and safety standards
- Participate as an active member of the Management Team
- Participate in training and professional development activities as required
Qualifications:
- Post-secondary education in Office Administration preferred or three to five year’s relevant experience in an office environment providing executive support.
- Degree/Diploma in Business Administration or relevant field would be an asset.
- Excellent organizational skills to arrange meetings (including technical set-up requirements and catering), coordinate board/committee requirements, take minutes and prioritize support requirements for the Board and Executive Director.
- Exceptional interpersonal and relationship skills
- Available to attend Board/Committee meetings in the evenings
- Excellent computer and software skills including Microsoft Office and Desktop Publishing.
- Excellent written communications skills to lead and assist in the development of corporate communications, and official correspondence. Verbal communication skill to respond to inquiries and represent the Executive Director’s office with external partners.
- Ability to exercise discretion and good judgment in the maintenance and release of sensitive and confidential information.
- Experience in a non-for-profit setting is an asset
- Experience in project management is an asset
- Ability to be flexible in an environment of diverse responsibilities.
- Ability to communicate (verbal/written) in French is an asset
