Clinical Education Events Specialist

Overview: The Clinical Education Events Specialist works on the Events team within Marketing to assist the Clinical Education team in the planning and execution of all Baylis Medical Education (MedEd) events and activities. These events focus on educating physicians and other healthcare providers (HCPs), and may include webinars, hands-on courses, satellite symposia, clinical observational programs, medical advisory board meetings, wet labs and custom workshops.

EVENT PLANNING & EXECUTION:

  • Research and book venues, catering, technology and other event support and services.
  • Organize all shipment, transportation, registration and accommodation logistics.
  • Maintain and refresh event equipment, product samples and promotional material, working with internal and/or 3rd parties as needed.
  • Manage event-related leads within SalesForce, including assigning leads to Sales team and tracking/reporting metrics for events.
  • Some North American travel required to support certain events on-site.
  • ADMINISTRATION & COORDINATION:
  • Manage incoming requests from the field and external communications with venues, partners and high profile physicians.
  • Collaborate with, consult and inform internal teams (including Clinical Education, Creative Marketing, Digital Marketing, Product Management & Marketing and Sales) to plan, coordinate and execute world-class events and related Marketing collateral.
  • Coordinate contracts and compensation with venues and physicians.
  • Maintain timely expense reports.
  • Take on other roles and responsibilities that support the goals of the Clinical Education team, Events team and Marketing department.

What you bring to the team: *

  • Degree level qualification in a relevant field or acceptable combination of education and experience (minimum 5 years’ experience in event planning and execution)
  • Experience in medical / pharmaceutical educational events, trainings and/or advisory boards strongly preferred
  • Exceptional organizational skills with ability to handle multiple projects and deadlines while maintaining high attention to detail
  • Confident, proactive, ambitious and creative personality with a desire to constantly develop and suggest and implement improvements
  • Thrives in a fast-paced and deadline-driven environment
  • High energy, self-motivated, positive attitude and results oriented
  • Ability to communicate professionally with high profile physicians and executives
  • Ability to work independently with little direct supervision
