Description
The Administrative Assistant will assist the Receptionist with administrative tasks.
KEY RESPONSIBILITIES:
- Receives requests from current and potential community clients, Ministry Units, vendors, donors, and others via phone, email, or in-person contact. Responds or redirects each inquiry as appropriate
- Receives and distributes incoming mail; arranges for mailouts, couriers, or other required delivery methods.
- Maintains filing systems for employee and operational files. Ensures files are up-to-date and contain all required elements
- Maintains driver support records (abstract, CVOR) are current and updated as required. Reports any discrepancies
- Performs general office duties: answers and transfers telephone calls, directs/responds to inquiries, greets, and assists visitors, photocopies/distributes materials, sends/receives fax/email material, files documents electronically and/or manually, as well as other data entry/paperwork tasks
- Ensures office supply and non-operational warehouse supply inventory levels are maintained. Track supply and usage and ensure re-orders are placed in a timely manner to eliminate item shortages
- Perform additional related duties as assigned
QUALIFICATIONS AND EDUCATION REQUIREMENTS:
- This position is funded through the Canada Summer Jobs Program and the following represents the applicant criteria:
- be between 15 and 30 years of age at the start of the employment*
- be a Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act for the duration of the employment; and,
- have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations
- Proven attention to detail and the ability to follow legislation, directions, policies, procedures and well-defined steps
- Reliable, self-motivated and confidential
- Ability to work in a team setting as well as independently
- Good communication skills, both verbal and written
- Able to adopt a flexible work schedule during peak and / or seasonal times
- Excellent verbal and written communication skills
- Ability to perform several tasks concurrently with ease and professionalism
- Ability to understand and adhere to the Code of Ethics
- Able to work in a consultative, diplomatic and tactful manner
- Organizational / time-management skills to plan and manage the workload
- Respect for and understanding of The Salvation Army – its mission, culture, and values
- Be available for full 7 weeks of program
Successful candidate will be required to provide upon hiring:
- A clear vulnerable sector screening
- Participate in our online Armatus Abuse Training and Health and Safety training required upon hiring
HOURS: 30-40 hours a week
