        Responsibilities
        
                        Position Purpose Summary:
Boundless Vancouver Community Ministries organizes The Salvation Army Boundless Vancouver Christmas Toy Shop for children and families. The Christmas Volunteer & Donation Coordinator works with our Boundless Vancouver team to organize our volunteers and coordinate donations for The Christmas Toy Shop and the Christmas Luncheon.
BASIC FUNCTIONS/RESPONSIBILITIES:
Volunteer Coordination: 

Works in conjunction with and in support of The Christmas Toy Shop by identifying and promoting volunteer opportunities
Recruit, screen, register & orient appropriate volunteers to fill positions
Process necessary paperwork, including Criminal Record Checks and volunteer agreement packages
Deploy volunteers to positions relevant to their interests and skills
Help orientate and supervise volunteers while they are deployed to their positions
Keep thorough records of volunteer information and hours of service for statistical purposes

Donation Coordination: 

Work in conjunction with and in support of the Christmas campaigns, identifying the financial and in-kind donation needs for Christmas distribution
Solicit financial and in-kind donations and correspond in a timely manner with individuals and corporate donors in the community; organize toy drives with companies and organizations in the community
Coordinate drop-off and pick up schedule with donors and driver(s)
Help coordinate with divisional Public Relations team for the Toy Mountain event
Relay donated items to the appropriate personnel for proper storage and distribution
Keep thorough records of donor information and donated items/amounts & maintain a positive relationship with our donors
Perform other duties as assigned

 
                    
                

        Qualifications
        
                        Education/Certifications:

Post-secondary education and work experience in fund-raising, donor relations, public relations

Experience:

One (1) to three (3) years of relevant experience, including experience working in customer service related fields

Required Skills/Knowledge:

Excellent organizational skills
Superior relationship building skills and the ability to interact with individuals at all levels in a confident, collaborative and professional manner
Proven ability to multitask
Be able to work independently; demonstrated self-starter and team player
Excellent verbal communication skills in person and on the phone
Excellent written communication skills
Proficient computer skills and familiarity with Google Suite and Microsoft Office
Ability to learn new software quickly and teach others
Be able to lift up to 30 lbs

Description

The Food Bank Coordinator is responsible to oversee the operations of the food bank, including but not limited to stocking the food bank, ordering/purchasing food, coordinating food pickups, and providing statistics and reports regarding food distribution. The position is also responsible for purchasing other supplies required for The Salvation Army Meal Programs (Lunch Program & Mobile Outreach Program).

KEY RESPONSIBILITIES:

Operations and Programming

  • Aid with processing, unloading, documenting, sorting, reorganizing, and re-stocking food donations for the Food Bank program and prepare donated items for distribution.
  • Assist with keeping the food bank storage area tidy and clean.
  • Drive the ministry units’ minivan and pick up, load, and unload various goods to be distributed through the food bank; assist with client food delivery where applicable.
  • Evaluate food inventory and determine food distribution amounts; process food orders with purchase food items to restock the food bank, lunch program and mobile outreach program; complete weekly food list for Food4All.
  • Liaise with Railside and coordinate monthly food delivery/pickup.
  • Work with other family services staff to maintain, promote and improve the profile of The Salvation Army in the community.
  • Organize and sort food according to dates utilizing, FIFO (First In First Out)
  • Network with other TSA, government, and community social service providers to coordinate resources for the benefit of clients and programs.
  • Maintain a neat, tidy, and safe work area while ensuring that all areas are organized and tidy at the end of each shift, i.e., garbage and recycling materials are stored appropriately and put out for curbside pick-up.
  • Check and tidy up the washrooms and ensure they are clean prior to the end of each shift.

Administration

  • Maintain accurate records of refrigerator and freezer temperatures and report any issues to the supervisor.
  • Maintain accurate records of all food bank related donations and purchases coming into Family Services and being provided to families through our food bank.
  • Complete initial food intake for all clients accessing the Food Bank.
  • Maintain accurate records of client and participant information on Link2Feed and The Salvation Army Client Management System (CMS) while maintaining confidentiality; prepare/provide statistical data, reports, and monthly statistics as necessary.

Health and Safety

  • Ensure that the Food Bank is maintained regarding appearance, condition and safety as recommended by Public Health etc.
  • Maintain valid Safe Food Handling Certification.
  • Assist with ensuring the safety and comfort of the Food Bank by maintaining cleanliness and food safety etc.
  • Work in compliance with OH&S Act and Regulations and abide by The Salvation Army’s health and safety policies and procedures.
  • Ensure compliance with all COVID-19 protocols and requirements.
  • Perform other related duties as required.

 

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

Education/Certifications:

  • Completion of a Community College Diploma in Social Service Worker or equivalent in related field.
  • Alternative combinations of education and experience may be considered.
  • Ability and willingness to provide a valid Safe Food Handlers Certification.
  • Valid G Class Driver’s License.

Experience:

  • Minimum of two (2) year of prior related experience, including experience working with multi-barriered persons, individuals with mental health issues a variety of social service programs.

Required Skills/Knowledge:

  • Knowledge of Food Bank operations, providing delivery services, working in a community meal program and willingness to learn more.
  • Knowledge of applicable rules and regulations regarding food preparation and/or nutrition and knowledge and skill in the application of safe food handling and sanitary requirements.
  • Attention to detail, problem solving and analytical skills.
  • Strong skills working in computerized environment.
  • Demonstrated ability to work independently and participate as an active and responsible team member in a cooperative team environment.
  • Lead by example, by demonstrating a positive attitude, a strong work ethic and a willingness to learn and be flexible.
  • Excellent interpersonal and customer service skills, integrity, and adaptability.
  • Exhibit good listening skills, have strong oral/written communication skills.

  • Travel within Northumberland County is associated with this position.  Required to drive a Salvation Army program vehicle.

Successful candidate will be required to provide upon hiring:

  • Participate in our online Armatus Abuse Training and Health and Safety training required upon hiring, as well as updated annually

HOURS: 16 hours per week. 9:00 a.m. to 1:00 p.m. Monday, Wednesday and Friday and Tuesday hours will be scheduled as per operational requirements.  Flexibility in scheduling is required, some weekend and evening work may be required
