DESCRIPTION
- Permanent, Full-Time.
- 40 hours/week.
KEY RESPONSIBILITIES:
HRIS (UltiPro) functions:
- Supporting the Ministry Units with data entry (new hires, status changes, fund allocations, termination, etc.) into UltiPro for staff across the Divisions in Western Region.
- Keep a record of UltiPro transactions when appropriate (e.g., new hire transaction confirmation).
- Maintains HRIS database for all personnel across the Divisions in Western Region (e.g., update employee information when required, create/review report, etc.).
- Provides HRIS support to HR representatives and managers; occasionally to employee users.
Payroll/Time Attendance:
- Assists with payroll inquires throughout the division and provide support on procedure, process and issues.
- By coordinating with administrative assistants and departmental managers, tracks absence requests for DHQ staff in UltiPro.
- Create and maintain quarterly reports to the Management team regarding outstanding vacation/lieu time.
- Support payroll budgeting process for DHQ Finance.
- Draft various letters concerning salary/ payroll.
- Collect, track, and the file completed Performance Evaluations for DHQ staff.
- Coordinates Service Canada/WCB inquiries.
- Assists with analysis and updating of files as directed by the Regional Director of HR, Regional HR Managers, and HR Advisors.
Perform Audits:
- Bi-weekly basis – audit DHQ timesheets to confirm accuracy in UltiPro.
- Coordinates monthly reports coming from Territorial Headquarters and ensuring compliance.
- Receives/reviews pay stub for DHQ, review for accuracy; report anomalies/corrections to appropriate delegate.
- May assist with auditing invoices and calculating adjustments related to benefits.
Recruitment and Orientation:
- Ensures job postings that are sent from Ministry Units are reviewed by HR Advisors to maintain compliance with territorial job descriptions and job grading guidelines.
- Coordinates interviews for DHQ, including pre-screening and reference checks.
- Posts job advertisements on The Salvation Army website and distribute all postings via email to Ministry Units across the Region.
File Maintenance:
- Files all paperwork related to human relations, benefits and payroll in the Region (electronically &/or paper as needed).
- Ensures employee files are archived following The Salvation Army policies and applicable legislation.
Other:
- Be involved in complex projects such as compensation projects, Employee Handbook, etc.
- Coordinates communications/announcements to Region.
- Back up to BCER and DHQ Advisors as needed.
- Other duties as required.
QUALIFICATIONS AND EDUCATION REQUIREMENTS:
Education/Certifications:
- The successful job applicant will have completed up to two (2) years of post-secondary education related to HR. NOTE: Equivalencies of education and experience will be considered.
- A certificate in Human Resources Management is an asset.
- Working towards CPHR is an asset.
Experience:
- Up to 3 years of prior related experience, including, experience dealing with office equipment and tools, administrative experience, and HRIS (UltiPro equivalent) experience is preferred.
Required Skills/Knowledge:
- Advanced skills in Excel, Word, PowerPoint, and Outlook (MS-Suite).
- Has a propensity for troubleshooting HR technical matters (hardware, software, systems, etc.).
- Ability to adapt to constant change and willing to work in a team-orientated environment.
