The Divisional Events Coordinator reports to the Divisional Secretary for Public Relations (Development) or Divisional Manager of Marketing and Communications to coordinate The Salvation Army’s divisional events, budgeting, sourcing and all other event-related duties.
KEY RESPONSIBILITIES:
Accountabilities:
Events Planning and Coordination:
- Provide administration, planning, coordination, and all other-related duties
- Coordinate catering arrangements and event/facility booking
- Source and manage vendors, create timelines and detail-oriented plans
- Coordinate and prepare technical and logistical aspects of events (set up, tear down and clean up)
- Produce event communication plans and critical paths
- Implement ideas to boost event attendance and fundraising efforts
- Provide logistical support as needed for divisional special events
- Be an active member of event planning committees such as congress and commissioning, program services, and other Salvation Army conferences as required
- Be on site for all events and assist in creating event briefs and briefing volunteers and necessary staff
- Develop a list of business contacts for events/data management
- Assist with the development and fulfillment of event budgets
Other Responsibilities:
- Take photographs at events for future use and publication
- Write post-event summaries
- Provide administrative support for events such as submitting insurance/permit requests and responding to event-related inquires
QUALIFICATIONS AND EDUCATION REQUIREMENTS:
Education, Qualifications and Certifications:
- Completion of a college/university certificate or diploma in event planning
- Valid Ontario Class “G” Driver’s License with an acceptable Driver’s abstract is an asset
Experience and Skilled Knowledge Requirements
- Minimum 1 year but less than 3 years experience in special event planning or related work experience
- Knowledge and experience in attracting funds or sponsorships
- Photography skills/background considered an asset
- Ability to exercise good judgment and tact
- Work as part of a team and independently
- Ability to manage details with accuracy and multi-task to quickly transition from one task to another
- Financial skills and experience in preparing and managing a budget
