        Responsibilities
        
                        Position Purpose Summary:
Boundless Vancouver Community Ministries organizes The Salvation Army Boundless Vancouver Christmas Toy Shop for children and families. The Christmas Volunteer & Donation Coordinator works with our Boundless Vancouver team to organize our volunteers and coordinate donations for The Christmas Toy Shop and the Christmas Luncheon.
BASIC FUNCTIONS/RESPONSIBILITIES:
Volunteer Coordination: 

Works in conjunction with and in support of The Christmas Toy Shop by identifying and promoting volunteer opportunities
Recruit, screen, register & orient appropriate volunteers to fill positions
Process necessary paperwork, including Criminal Record Checks and volunteer agreement packages
Deploy volunteers to positions relevant to their interests and skills
Help orientate and supervise volunteers while they are deployed to their positions
Keep thorough records of volunteer information and hours of service for statistical purposes

Donation Coordination: 

Work in conjunction with and in support of the Christmas campaigns, identifying the financial and in-kind donation needs for Christmas distribution
Solicit financial and in-kind donations and correspond in a timely manner with individuals and corporate donors in the community; organize toy drives with companies and organizations in the community
Coordinate drop-off and pick up schedule with donors and driver(s)
Help coordinate with divisional Public Relations team for the Toy Mountain event
Relay donated items to the appropriate personnel for proper storage and distribution
Keep thorough records of donor information and donated items/amounts & maintain a positive relationship with our donors
Perform other duties as assigned

 
                    
                

        Qualifications
        
                        Education/Certifications:

Post-secondary education and work experience in fund-raising, donor relations, public relations

Experience:

One (1) to three (3) years of relevant experience, including experience working in customer service related fields

Required Skills/Knowledge:

Excellent organizational skills
Superior relationship building skills and the ability to interact with individuals at all levels in a confident, collaborative and professional manner
Proven ability to multitask
Be able to work independently; demonstrated self-starter and team player
Excellent verbal communication skills in person and on the phone
Excellent written communication skills
Proficient computer skills and familiarity with Google Suite and Microsoft Office
Ability to learn new software quickly and teach others
Be able to lift up to 30 lbs

 
PREFERRED SKILLS/capabilities: 

Valid BC Driver’s License
Background check consent
A clear vulnerable sector screening
A clean drivers’ abstract
Completion of online Armatus Abuse Prevention Training and required Health and Safety training

The Administrative Assistant/Intake position will perform all secretarial and administrative duties within the department, providing administrative support to Corps Officers and Staff.

This individual will also assist at Family Services when need it.

Hours: 

  • 9:30 am – 5 pm (Hours subject to change according to the season schedule and office hours) Tuesday to Friday
  • 25 hours per week

KEY RESPONSIBILITIES:

  • Drafts and types correspondence (e.g. letters dealing with administrative issues)
  • Performs general office duties such as answers and screens the telephone and directs inquiries and answers inquiries; greets and escorts visitors; files documents electronically or manually; photocopies and distributes materials as requested; sends and receives email material as requested; resolves routine inquiries
  • Builds and maintains databases (e.g. contact lists, employee/volunteer information, inventory, hours worked, and territorial status reports) Maintains input into Salvation Army Management Information System – S.A.M.I.S
  • Systems (S.A.M.I.S, Link2feed as well as computer programs, Word, Excel etc.
  • Drafts and prepares PowerPoint presentations, brochures, flyers, advertisements, invitations, and certificates subject to supervisory request and approval
  • Takes attendance and meeting minutes; type and circulate minutes as required
  • Keeps record of stationery supplies as needed
  • Maintain programs records; and preparation of monthly reports in the Admin Department
  • Assist with the Family Services Department when needed serving clients, entering data on the Link2Feed system, and updating records and reports.
  • Prepare receipts for individual donors; handles walk-in cash donations
  • May perform duties relates to deposits
  • Performs other duties as assigned

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

*NOTE: For some jobs, you may be required to provide validated educational documentation.

Education/Certifications:

  • The successful job applicant will have completed up to two years of Community College (an alternative level of education and experience may be acceptable)

Experience:

  • Two years of prior Admin related experience, including experience dealing with office equipment and tools
  • Senior administrative experience would be an asset

Required Skills/Knowledge:

  • Excellent customer/donor service ethics including the ability to deal with the public in a friendly manner
  • A proven ability to work in a team setting as well as a willingness to take personal initiatives
  • The ability to easily adapt to change and interruptions to a normal work routine, and work in a fast paced environment
  • Knowledge and experience with computer programs Excel, Word and related software
  • The ability to maintain confidentiality
  • An understanding of and support of the Mission Statement of The Salvation Army in Canada
  • A willingness to adhere to a dress code of modesty, neatness and cleanliness
  • The Successful applicant must have, or be willing to obtain a criminal record check, to work with the vulnerable sector.
