        Responsibilities
        
                        Position Purpose Summary:
Boundless Vancouver Community Ministries organizes The Salvation Army Boundless Vancouver Christmas Toy Shop for children and families. The Christmas Volunteer & Donation Coordinator works with our Boundless Vancouver team to organize our volunteers and coordinate donations for The Christmas Toy Shop and the Christmas Luncheon.
BASIC FUNCTIONS/RESPONSIBILITIES:
Volunteer Coordination: 

Works in conjunction with and in support of The Christmas Toy Shop by identifying and promoting volunteer opportunities
Recruit, screen, register & orient appropriate volunteers to fill positions
Process necessary paperwork, including Criminal Record Checks and volunteer agreement packages
Deploy volunteers to positions relevant to their interests and skills
Help orientate and supervise volunteers while they are deployed to their positions
Keep thorough records of volunteer information and hours of service for statistical purposes

Donation Coordination: 

Work in conjunction with and in support of the Christmas campaigns, identifying the financial and in-kind donation needs for Christmas distribution
Solicit financial and in-kind donations and correspond in a timely manner with individuals and corporate donors in the community; organize toy drives with companies and organizations in the community
Coordinate drop-off and pick up schedule with donors and driver(s)
Help coordinate with divisional Public Relations team for the Toy Mountain event
Relay donated items to the appropriate personnel for proper storage and distribution
Keep thorough records of donor information and donated items/amounts & maintain a positive relationship with our donors
Perform other duties as assigned

 
                    
                

        Qualifications
        
                        Education/Certifications:

Post-secondary education and work experience in fund-raising, donor relations, public relations

Experience:

One (1) to three (3) years of relevant experience, including experience working in customer service related fields

Required Skills/Knowledge:

Excellent organizational skills
Superior relationship building skills and the ability to interact with individuals at all levels in a confident, collaborative and professional manner
Proven ability to multitask
Be able to work independently; demonstrated self-starter and team player
Excellent verbal communication skills in person and on the phone
Excellent written communication skills
Proficient computer skills and familiarity with Google Suite and Microsoft Office
Ability to learn new software quickly and teach others
Be able to lift up to 30 lbs

 
PREFERRED SKILLS/capabilities: 

Valid BC Driver’s License

The Youth Ministries Coordinator will provide oversight to youth and young adult ministries programs.  Give focused attention to strengthen and grow the programs and attend to the spiritual growth and development of the youth.

KEY RESPONSIBILITIES:

ACCOUNTABILITES

Youth Programming

  • Contribute to the spiritual development of youth and young adults and their families within the church and community by mentoring, discipling, encouraging, and modeling appropriate attitudes and behaviors.
  • Coordinate and maintain (or when necessary reimage) existing programing relevant to the youth of the church and community at large, including worship, fellowship, discipleship, and regular special events.
  • Plan, supervise, implement, and participate in regular special corps events primarily focused on youth and their families with the goal of creating fun, fellowship, and outreach (e.g., youth groups and Thursday evening music activities, etc.).
  • Coordinate, promote, support, and participate in Divisional and Territorial youth events.
  • Demonstrate keen pastoral interest in connecting young adults, youth, and their families to our church through relationship building and programs.
  • Act as the student liaison for London Citadel, making initial first contact and offering follow up to college and university students relocating to the area.
  • Work cooperatively and consultatively with the corps’ leadership to prepare and deliver children and youth worship services and devotionals, both for the senior corps and for youth events on a regular basis support as well as support administrative and pastoral responsibilities of the congregation.
  • Work together with existing fundraising committee to raise funds to support participation in divisional and territorial events as well as other initiatives as required.
  • Oversee launch of youth bursary program in collaboration with committee.
  • Attend Sunday worship services and participate fully as a part of the London Citadel congregation.

Volunteers

  • Recruit, supervise, orientate, support and train volunteer leaders for youth and young adult discipleship programs, such as Bible studies, youth groups, and Thursday night music programs etc. in partnership with the Corps Officer and other youth leaders.
  • May develop strategies and recommendations for volunteer development.
  • Deal with volunteer complaints and incident reports.
  • Prepare, post, and maintain all volunteer schedules for those supervised in accordance with operational requirements ensuring adequate coverage for all program functions.
  • Ensure completion of police checks for volunteers, statement of applicant for work with children and youth forms, and online abuse prevention training.

 Administration:

  • Prepare and maintain written records/logs of activities, including activity reports and statistical information.
  • Assist in the maintenance of volunteer files and statistical records as directed.
  • Design and draft promotional material that highlights various programs provided by the London Citadel subject to supervisory approval.
  • May participate in the development and implementation of policies and procedures for the Youth Programs.

Communication:

  • Communicate in an empathetic manner with congregants, families, and staff.
  • Inform the Corps Officer regarding any concerns or issues in a timely manner.

Health and Safety

  • Maintain program storage areas (e.g., updating, safety, organizing, etc.).
  • Seek out continual education in food safety and health standards, including maintaining Safe Food Handling Certification.
  • Work in compliance with OH&S Act and Regulations and abide by The Salvation Army’s health and safety policies and procedures.
  • Ensure compliance with all COVID-19 protocols and requirements.

MANAGERIAL/Technical Leadership RESPONSIBILITY:

  • This position reports directly to the Corps Officer or designate.
  • The incumbent is responsible as a group/work leader.
  • Hold regular volunteer meetings.
  • The incumbent directly supervises between 6 to 12 youth volunteer leaders within established guidelines.

FINANCIAL AND MATERIALS MANAGEMENT:

  • This role is responsible for maintaining current curriculum and program equipment.
  • Expenditure approval for $2,000.00.
  • Provide input into the departmental budget and be required to monitor the financial performance accordingly.
  • Working Conditions:
    • This is a permanent full-time position based on 30 hours per week.
    • Ability to lift/move up to 40 lbs.
    • This job requires reaching, bending, and stooping frequently, working in a sitting, and standing position for periods of time.
    • Travel is associated with this position {10%}. i.e., on occasion pick-up supplies, attend community meetings. Note: required to use the program vehicle when available.

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

EDUCATION, QUALIFICATIONS AND CERTIFICATIONS:

  • Completed a post-secondary certificate/ college diploma program in related field of study, Children/Youth, or the completion of 2 or 3 post-secondary academic years.
  • A uniformed Salvation Army Soldier would be an asset.
  • Current Safe Food Handling Certificate, or willing to obtain and maintain current certificate
  • Current CPR/First Aid certification, or willing to obtain and maintain current certification
  • Understanding of the youth and young adults, and associated needs.
  • Proficiency with social media and Microsoft Office, Word, PowerPoint, and Google Workspace.
  • Alternative combinations of education and experience may be considered.

Experience and Skilled Knowledge Requirements:

  • Minimum of two (2) years of prior related experience working with youth and youth programming.
  • Valid Ontario Class “G” Driver’s License; personal vehicle and insurance, and a current copy of a Driver’s abstract that is satisfactory to The Salvation Army, in its sole discretion, is required.
  • Provide an original copy of a Background Check with vulnerable sector screening that is satisfactory to The Salvation Army, in its sole discretion, is required.  The screening is secured either through the national Canadian Police Information Centre (CPIC) or through a local police detachment
  • Screening through The Salvation Army Abuse Registry.
  • Understand, support and be able to communicate and model the Mission, Values, Doctrines, and policies of The Salvation Army in Canada.
  • Develop an understanding and support for the mission and purpose of The Salvation Army in Canada and its implications as related to position responsibilities.
