        Responsibilities
        
                        Position Purpose Summary:
Boundless Vancouver Community Ministries organizes The Salvation Army Boundless Vancouver Christmas Toy Shop for children and families. The Christmas Volunteer & Donation Coordinator works with our Boundless Vancouver team to organize our volunteers and coordinate donations for The Christmas Toy Shop and the Christmas Luncheon.
BASIC FUNCTIONS/RESPONSIBILITIES:
Volunteer Coordination: 

Works in conjunction with and in support of The Christmas Toy Shop by identifying and promoting volunteer opportunities
Recruit, screen, register & orient appropriate volunteers to fill positions
Process necessary paperwork, including Criminal Record Checks and volunteer agreement packages
Deploy volunteers to positions relevant to their interests and skills
Help orientate and supervise volunteers while they are deployed to their positions
Keep thorough records of volunteer information and hours of service for statistical purposes

Donation Coordination: 

Work in conjunction with and in support of the Christmas campaigns, identifying the financial and in-kind donation needs for Christmas distribution
Solicit financial and in-kind donations and correspond in a timely manner with individuals and corporate donors in the community; organize toy drives with companies and organizations in the community
Coordinate drop-off and pick up schedule with donors and driver(s)
Help coordinate with divisional Public Relations team for the Toy Mountain event
Relay donated items to the appropriate personnel for proper storage and distribution
Keep thorough records of donor information and donated items/amounts & maintain a positive relationship with our donors
Perform other duties as assigned

 
                    
                

        Qualifications
        
                        Education/Certifications:

Post-secondary education and work experience in fund-raising, donor relations, public relations

Experience:

One (1) to three (3) years of relevant experience, including experience working in customer service related fields

Required Skills/Knowledge:

Excellent organizational skills
Superior relationship building skills and the ability to interact with individuals at all levels in a confident, collaborative and professional manner
Proven ability to multitask
Be able to work independently; demonstrated self-starter and team player
Excellent verbal communication skills in person and on the phone
Excellent written communication skills
Proficient computer skills and familiarity with Google Suite and Microsoft Office
Ability to learn new software quickly and teach others
Be able to lift up to 30 lbs

Description

The Community Services and Thrift Store Director is to provide direction and oversight to all aspects of The Salvation Army Gananoque Community & Family Services (CFS) and Thrift Store (TS).  The incumbent oversees such things as finance/funding contracts, service delivery/programs, property, and employee relations to enhance capacity, accountability, and effectiveness.

KEY RESPONSIBILITIES:

Operations and Administration

  • Provide operational and financial management and oversight of CFS/TS operations
  • Maintain and promote positive working relationships, partnerships, and communication with funders/ stakeholders
  • Maintain, review, and update current policies and procedures for the CFS/TS and programs; creating new policies and processes as required
  • Develop and support new initiatives, striving to create effective and efficient services, in partnership with community agencies as required
  • Encourage, develop and support spiritual ministries
  • Conduct ongoing evaluations of program objectives and viability
  • Review and post policies; submit recommendations for update to the Employee Handbook, when required
  • Oversee property maintenance and repairs; obtaining quotes for issues and repair from qualified contractors and submitting to our property department as needed for additional approvals and guidance

Human Relations

  • Provide significant input into all human resource decisions for CFS/TS including interviewing and selection, coaching, performance management, and discipline up to and including termination, in cooperation with DHQ Human Relations, as required and in compliance with Divisional and Territorial standards
  • Responsible for the supervision of staff and volunteers; provide direction regarding tasks or consult in assignments
  • Develops recommendations for staff and volunteer development
  • Oversee and/or directly manage effective human relations practices in consultation with the Regional Human Relations Manager or designate
  • Demonstrate interest and care for staff members, providing moral support as appropriate, and/or securing pastoral support from other sources
  • Submit and act on incident reports, deal with staff and client complaints, advising/consulting Divisional Human Relations as needed
  • Ensure all staff are trained and follow best practices, policies, procedures, and protocols
  • Ensure that staff receive regular opportunities for training relevant to their roles
  • Administer employee files and the extended health and group benefit program, and preparation and submission of the bi-weekly payroll, review payroll, reports, and file
  • Ensure workplace incidents / WSIB claims are investigated, documented, and managed as required

Public Relations

  • Notify the Public Relations/Area Commander of any media coverage needs for all Salvation Army programs and events
  • Liaise with various levels of government and applies for grants from the local government agencies to support our work
  • Oversee events and fundraising activities in collaboration with appropriate divisional and/or territorial Public Relations and/or Development staff
  • Ensure appropriate volunteer appreciation and recognition is being organized by the Volunteer Coordinator

Internal Communications

  • Ensure that regular lines of communication are established with the Area Commander and Divisional Headquarters

Financial Responsibilities

  • Establish, maintain, and adhere to the ministry unit budget in compliance with operating and administrative guidelines; authorize and monitor all financial transactions; review and approve invoices for processing through RAC
  • Prepare financial reports and oversee the financial operations of the organization, including annual budget preparation and monitoring of all departments during the year
  • Prepare information to submit to RAC for annual Charity Return filing (T3010 Return)
  • Prepare all needed Journal Entries, Gift in Kind, and Internal Transfers
  • Analyze statistical and financial reports for the purpose of strategic planning and apply for applicable grants and funding applications

Health and Safety

  • Understand and work in compliance with the Ontario Health and Safety Act (OHSA) and Regulations and abide by The Salvation Army’s health and safety policies and procedures
  • Ensure that the measures and procedures prescribed (OHSA) are carried out in the workplace(s) and that every reasonable precaution is taken for the protection of the worker and workplace
  • Identify and implement effective practices for risk management to ensure workplace safety, minimize liability, and uphold the reputation of The Salvation Army and Ministry Units
  • Ensure that equipment, materials, and protective devises as prescribed (OHSA) are provided and maintained in good condition
  • Ensure that proper procedures are followed in the event of a workplace injury or illness and that incident investigations are conducted as applicable

Perform other duties as required

 

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

Education/Certifications:

  • Completion of college diploma/degree or an equivalent combination of education and experience
  • Alternative combinations of education and experience may be considered
  • Ability and willingness to provide a CPR/First Aid Certificate

Experience:

  • A minimum of 5 years of related experience working in a variety of social services programs and experience working with multi-barriered persons, individuals with mental health issues, at risk populations, writing project proposals, and experience at a supervisory level including Human Resources, management, budgetary and property responsibilities

Required Skills/Knowledge:

  • Demonstrated understanding of, and compliance with, all relevant federal and provincial legislation, e.g., the Employment Standards Act, Human Rights Act, Occupational Health and Safety, WSIB, Ministry of Labour, etc.
  • Demonstrated skills/knowledge of Funding/Grant submissions/programs
  • Valid Ontario Class “G” Driver’s License, current copy of driver’s abstract that is satisfactory to The Salvation Army, in its sole discretion is required
  • Demonstrate a high level of integrity, good judgment, and maintain appropriate professional boundaries and confidentiality
  • Demonstrated ability to work from a client-centered perspective
  • Demonstrated proficiency with Microsoft Office Suite
  • Committed to service excellence with sound knowledge of financial management, human resource management, and leadership principles as they relate to non-profit organizations; able to lead, coach, inspire, and motivate teams to reach their full potential, thus enhancing organizational effectiveness
  • Good Public Relations skills
  • Strategic thinker: able to see ‘the big picture’, develop effective plans/strategies and evaluate their effectiveness to improve operations and programs and source new opportunities
  • Effective analytical, problem solving and evaluation skills with an ability to investigate and initiate corrective action to successfully resolve problems, issues, and conflict
  • Competency in making and implementing effective decisions with strong organizational, interpersonal, time management and communication skills, both oral and written
  • Possess strong interpersonal and conflict management skills, including the ability to maintain appropriate confidentiality
  • Ability to undergo applicable screening and background checks successfully that are satisfactory to The Salvation Army, in its sole discretion (i.e., The Salvation Army Abuse Registry) and provide an original copy of a Background Check or Vulnerable Sector screening which is required as a condition of employment.
  • Ability and willingness to develop an understanding and support for the mission and purpose of The Salvation Army in Canada and its implications as related to position responsibilities

Working Conditions: 

  • This is a considered a management position for the purposes of the Employment Standards Act of Ontario and as such is not covered by various ESA rules, including but not limited to those related to hours of work, daily and weekly rest periods and overtime compensation. Salary is based on average minimum weekly hours of 40 per week and hours worked are compensated through the annual salary amount
  • Mostly works regular business hours – some evenings and weekends may be required; required to respond to emergencies as needed
  • Required to carry a cell phone
  • Working environment is typically in the office in generally agreeable conditions
  • Ability to lift/move more than 20 pounds as required
  • May encounter verbal abuse from clients
  • Travel (mostly local) to attend community meetings etc. is associated with this position (10% travel)
