Description
Provide support for Administration Office programs which include reception and Community & Family Services.
HOURS:
- 20 hours per week
- Monday to Friday, may vary due to community events
KEY RESPONSIBILITIES:
- Ability to represent and work within the mission, vision & values of The Salvation Army
- Consistently demonstrate compassion, respect and empathy
- Support, where and when possible, the efforts of all residents, clients and co-workers
- Maintain polite and professional communication in person, via phone, email, and mail
- Perform general office duties such answer telephone calls, respond to or direct inquiries, distribute incoming mail, file materials electronically/manually, photocopy and distribute materials, send and receive email/fax materials
- Resolve routine inquiries
- Handle sensitive employee, client and or program information in a confidential manner
- Coordinate picking-up, organizing, restocking, packing and distribution of non-monetary supplies/donations
- In consultation with Executive Director, cultivate relationships with current donors through visits and general correspondence, seeking to gain further commitment and increase their financial support
- Manage and update website and social media sites
- In consultation with management team to organize, promote, attend and supervise all fundraising events and fundraising focused projects
- Conduct initial intake assessments determining immediate needs and supports of community clients
- Update CFS client files and case notes in data entry system
- Uses word processing for routine documentation such as letters, forms, email

QUALIFICATIONS AND EDUCATION REQUIREMENTS:
- Preference to those who have completed High School and have related experience
- Preference to those with a current valid BC driver’s license and clean driving record
- Graphic design background an asset
Experience:
- Strong service ethic and a friendly disposition with the public
- Team oriented and able to take initiative
- Ability to work with minimum supervision in a fast-paced environment
- High standards of integrity, judgement and confidentiality
Required Skills/Knowledge:
- Effective communication skills
- Adaptability to change and frequent interruptions
- Willingness to work with people from diverse cultural backgrounds
- Computer and word processing ability
- Experience with varying forms of social media
- Ability to lift up to 18 kgs (40 lbs)
- Food Safe, CPR, First Aid and Non-Violent Crisis Training an asset
- Knowledge and interest in the programs and services of The Salvation Army an asset
- Successful obtainment of clearance through the Criminal Records Review Program
