        Responsibilities
        
                        Position Purpose Summary:
Boundless Vancouver Community Ministries organizes The Salvation Army Boundless Vancouver Christmas Toy Shop for children and families. The Christmas Volunteer & Donation Coordinator works with our Boundless Vancouver team to organize our volunteers and coordinate donations for The Christmas Toy Shop and the Christmas Luncheon.
BASIC FUNCTIONS/RESPONSIBILITIES:
Volunteer Coordination: 

Works in conjunction with and in support of The Christmas Toy Shop by identifying and promoting volunteer opportunities
Recruit, screen, register & orient appropriate volunteers to fill positions
Process necessary paperwork, including Criminal Record Checks and volunteer agreement packages
Deploy volunteers to positions relevant to their interests and skills
Help orientate and supervise volunteers while they are deployed to their positions
Keep thorough records of volunteer information and hours of service for statistical purposes

Donation Coordination: 

Work in conjunction with and in support of the Christmas campaigns, identifying the financial and in-kind donation needs for Christmas distribution
Solicit financial and in-kind donations and correspond in a timely manner with individuals and corporate donors in the community; organize toy drives with companies and organizations in the community
Coordinate drop-off and pick up schedule with donors and driver(s)
Help coordinate with divisional Public Relations team for the Toy Mountain event
Relay donated items to the appropriate personnel for proper storage and distribution
Keep thorough records of donor information and donated items/amounts & maintain a positive relationship with our donors
Perform other duties as assigned

 
                    
                

        Qualifications
        
                        Education/Certifications:

Post-secondary education and work experience in fund-raising, donor relations, public relations

Experience:

One (1) to three (3) years of relevant experience, including experience working in customer service related fields

Required Skills/Knowledge:

Excellent organizational skills
Superior relationship building skills and the ability to interact with individuals at all levels in a confident, collaborative and professional manner
Proven ability to multitask
Be able to work independently; demonstrated self-starter and team player
Excellent verbal communication skills in person and on the phone
Excellent written communication skills
Proficient computer skills and familiarity with Google Suite and Microsoft Office
Ability to learn new software quickly and teach others
Be able to lift up to 30 lbs

 
PREFERRED SKILLS/capabilities: 

Valid BC Driver’s License
Background check consent
A clear vulnerable sector screening
A clean drivers’ abstract
Completion of online Armatus Abuse Prevention Training and required Health and Safety training

KEY RESPONSIBILITIES:

  • Arrive 15 – 20 minutes early before shift to receive verbal report and remain, when necessary, in crisis situations
  • Read and initial the Communication Log recordings as part of a team effort
  • Review the Register and Client Activity List daily
  • Takes responsibility for routine intake processes and decisions, following standard procedures
  • Communicate daily happenings in a clear, concise manner including client activities and follow up responsibilities for next shift
  • Consistently enforce Family Life Resource Center Guidelines and Expectations
  • Distribute Personal Needs Allowance, Transit Tickets, taxi Vouchers, Emergency Money according to policy.
  • Follow Intake Housekeeping check list for cleaning responsibilities
  • Dispense client medication according to policy
  • Distribute juice boxes to children going to school and record distribution
  • Provide support to clients and/or callers
  • Respond to crisis situations in an appropriate manner
  • Conduct Facility Security/Safety and Maintenance Checks on a regular basis according to policy
  • Follow through with proper fire, security, and safety procedures.
  • Maintain safety & security of the facility at all times. Monitor all movement in and out of the Center
  • Record all maintenance concerns in the Maintenance Request Binder
  • Complete ‘Pre – Admission Screening” procedure for all referrals
  • Complete ‘Intake’ and ‘Discharge’ procedures in the absence of counselors
  • Liaises with external agencies as needed and fosters positive relationships (e.g. OWP, police, parole, urgent situations)
  • Complete the daily register, Client List, Client Activity Sheet and Shift Change Sheet on a nightly basis
  • Respond to all telephone calls and deal with them appropriately
  • Receive/record donations and prepare thank you letters
  • Ensure all food donations are wrapped and stored appropriately
  • Maintains statistical records for The Salvation Army Management Information System
  • Fosters positive relations with community agencies/resources
  • Adhere to The Salvation Army Honeychurch Family Life Resource Centre Policy and Procedure Manual
  • Governed by Violence Against Women Act
  • Adhere to standards that are consistent with the values & philosophy of The Salvation Army and the Residential Services Department
  • Engage in formal Evaluations Sessions with Supervisor at 3 months during first year of employment and monthly supervisions thereafter
  • Read and follow the Policy & Procedures Manual and the Employees Handbook
  • Agree to and sign Client and Agency Confidentiality Statements
  • Function as a member of a multi-disciplinary team
  • Adhere to the centre’s Health and Safety Regulations
  • Make suggestions that will improve efficiency, working conditions or procedures to Management
  • Represent the organization in a professional manner and attitude
  • Performs other duties as assigned

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

  • College Diploma in Social Services Field or equivalent
  • Valid WHMIS and First Aid and CPR certification
  • Alternative combinations of education and experience may be considered.

EXPERIENCE AND KNOWLEDGE:

  • Knowledge, experience and training in Violence Against Women Issues and the Cycle of Violence
  • Non-Violent Crisis Intervention
  • Knowledge and understanding of, and a commitment to anti-racism and anti –oppression
  • Basic knowledge of community resources and/or how to access them
  • Valid Class ‘G’ Driver’s License with clean drivers abstract
