The Academic Support Officer provides clerical and administrative support to the Campus Provost/Vice President Academic, Ontario and the Dean of Academics and undertakes general administrative and research assistance activities as required.
II. DUTIES AND RESPONSIBILITIES
Administrative
Provides general administrative and clerical support including typing, copying, scanning etc. and scheduling meetings and events.
Support and maintain files for university-wide academic committees
Maintain and keep current the compilation of university policies
Maintain files related to regulatory approvals and reviews
Provide administrative and clerical support, including scheduling meetings and events
Maintains electronic and hard copy filing systems
Responsible for set up and arranging various committee meetings
Provides a single point of contact for all faculty.
Is the first point of contact for students looking for instructors and connect students with instructors. Connects students to tutors.
Maintains list of textbooks for all the courses and work as a liaison with the book store.
Prepares new faculty orientation package.
Maintains and updates faculty lists, including their office locations, office hours, contact information
Collects and collates course outlines from short-listed potential partner institutions to prepare articulation agreements.
Helps prepare articulation agreements.
Collects and maintains all the articulation documents, including expiry dates.
Research Assistance
Prepares and maintains a list of universities and community colleges offering a Bachelor of Interior Design and Bachelor of Business Administration degree. Collects the relevant information from these institutions including the degree structure (total credit hours, number of regular courses, studio courses, pre-requisites and co-requisites), tuition fees and other relevant information.
Checks university webpages of Ontario universities to list the majors/concentrations in BBA programs.
Collects and maintains newspaper and magazine articles for research and marketing purposes.
Undertakes research and analysis as required.
III. POSITION PROFILE
A. Education and Experience
Bachelor’s degree required
Experience providing administrative and clerical assistance to senior managers, preferably in a post-secondary institution
B. Skills and Abilities
Understanding of and ability apply policies and procedures
Ability to do basic research and compile documents for committees and academic administrators
Ability to work with Microsoft Office and similar office software
Ability to work in a collegial environment and to collaborate with Deans and other senior academic administrators
Excellent oral and written communications skills
Meticulous attention to detail
