        Responsibilities
        
                        Position Purpose Summary:
Boundless Vancouver Community Ministries organizes The Salvation Army Boundless Vancouver Christmas Toy Shop for children and families. The Christmas Volunteer & Donation Coordinator works with our Boundless Vancouver team to organize our volunteers and coordinate donations for The Christmas Toy Shop and the Christmas Luncheon.
BASIC FUNCTIONS/RESPONSIBILITIES:
Volunteer Coordination: 

Works in conjunction with and in support of The Christmas Toy Shop by identifying and promoting volunteer opportunities
Recruit, screen, register & orient appropriate volunteers to fill positions
Process necessary paperwork, including Criminal Record Checks and volunteer agreement packages
Deploy volunteers to positions relevant to their interests and skills
Help orientate and supervise volunteers while they are deployed to their positions
Keep thorough records of volunteer information and hours of service for statistical purposes

Donation Coordination: 

Work in conjunction with and in support of the Christmas campaigns, identifying the financial and in-kind donation needs for Christmas distribution
Solicit financial and in-kind donations and correspond in a timely manner with individuals and corporate donors in the community; organize toy drives with companies and organizations in the community
Coordinate drop-off and pick up schedule with donors and driver(s)
Help coordinate with divisional Public Relations team for the Toy Mountain event
Relay donated items to the appropriate personnel for proper storage and distribution
Keep thorough records of donor information and donated items/amounts & maintain a positive relationship with our donors
Perform other duties as assigned

 
                    
                

        Qualifications
        
                        Education/Certifications:

Post-secondary education and work experience in fund-raising, donor relations, public relations

Experience:

One (1) to three (3) years of relevant experience, including experience working in customer service related fields

Required Skills/Knowledge:

Excellent organizational skills
Superior relationship building skills and the ability to interact with individuals at all levels in a confident, collaborative and professional manner
Proven ability to multitask
Be able to work independently; demonstrated self-starter and team player
Excellent verbal communication skills in person and on the phone
Excellent written communication skills
Proficient computer skills and familiarity with Google Suite and Microsoft Office
Ability to learn new software quickly and teach others
Be able to lift up to 30 lbs

 
PREFERRED SKILLS/capabilities: 

Valid BC Driver’s License
Background check consent
A clear vulnerable sector screening
A clean drivers’ abstract
Completion of online Armatus Abuse Prevention Training and required Health and Safety training

To provide administrative support to Corps Officers and other employees and ensure efficient operation of the Ministry Unit.

HOURS:  

  • Part-Time – 15 hours per week.

KEY RESPONSIBILITIES:

  • Provide primary administrative support to Corps Officers including arranging of pastoral care in their absence.
  • Front desk reception at the Willows Family Life Centre and handle phone calls and respond to administrative emails on church accounts.
  • Oversee all general clerical duties including correspondence, filing, photocopying, outgoing and incoming mail.
  • Attend & take minutes for staff meetings and distribute them in a timely manner.
  • Gather and update church statistics in SAMIS monthly.
  • Monthly update of Church Directory.
  • Assist in preparation for annual Corps Review and roll updating.
  • Process expense statements for approval and online filing.
  • Ensure the completion of various errands such as post office, deliveries, and supply pick-up.
  • Management of office printers and technical support as required.
  • Manage petty cash, set up cash floats as needed and ensure that all policies and procedures around money handling and the office safe are followed.
  • Coordination of volunteers for church and Family Life Centre, overseeing communications related to scheduling and rosters on Sunday teams.
  • Organize volunteer appreciation event in coordination with the Corps Officers.
  • Maintain office supplies and kitchen supplies.
  • Design, produce and distribute paper and digital promotional items as needed, including but not limited to weekly bulletin and inserts, monthly calendar, posters for display board, PowerPoint announcement slides, etc.
  • Maintain oversight and ongoing updating of Information Boards including periodicals, applications, promotional items, and seasonal displays.
  • Manage social media feeds and maintain church website and take digital photographs as needed for promotional material.
  • Manage church calendar and room rentals or bookings regarding both special events and regular activities
  • Assist with Toy Lending Library loans and returns.
  • Process camp applications, registration and collect fees.
  • Assist with processing and depositing of tithes and contributions.
  • Assist with counting money during the Christmas kettle campaign as needed.
  • Perform other duties as assigned.

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

*NOTE: For some jobs, you may be required to provide validated educational documentation.

Education/Certifications:

  • Completed high school – specialized courses in the field of administration would be advantageous
  • Valid driver license.

Experience:

  • One (1) year prior related experience in administrative duties including knowledge of office equipment.

Required Skills/Knowledge:

  • Excellent organizational skills.
  • Experience in office and administration/office equipment (computer, copier machine, etc.)
  • Proven proficiency in computer skills and experience working with Microsoft Office; WordPress website. management and social media platforms are an asset.
  • Proven problem-solving and conflict management training/skills.
  • Excellent communication and interpersonal skills.
  • Ability to multi-task and work well in a fast-paced environment.
  • Flexibility in scheduling is required for November-December; July-August.
