Reporting to the Territorial Director of Emergency Disaster Services, the Administrative Assistant, Emergency Disaster Services provides general administrative support to the Territorial Headquarters (THQ) Emergency Disaster Services (EDS) team. This position will work primarily from a home office in either London or Toronto, Ontario and will need to be able to come into the office as required.
KEY RESPONSIBILITIES:
Support EDS Team
This position will provide direct administrative support to all members of the Emergency Disaster Services team as follows:
- Book travel arrangements
- Travel and Expense Management
- Process mail and courier services
- Process all invoices and expenses
- Scheduling meeting for EDS Team
- Assist with sorting and directing TDEDS emails
- Manage Director’s calendar on a daily basis and prepare paperwork for meetings when necessary
- Assist with administrative functions related to EDS training sessions
General Office Duties
- Responsible for customer service for EDS team clients/stakeholders
- Set up meetings and order refreshments, food as required
- Take minutes of meetings, as required
- Prepare routine correspondence
- Assist with special projects and/or other general office duties as assigned
- May be required to share responsibility of relief receptionist’s duties at THQ main lobby
- Other duties as assigned
Administrative/Financial
- In consultation with relevant stakeholders, develops and maintains territorial EDS documentation including policies, procedures, and standard forms
- Prepares and submits reports and statistics as required to THQ leadership and relevant stakeholders
- Demonstrates diligent stewardship of resources
Organizational Responsibilities
- Ensures TSA EDS practices and service delivery are consistent with policies and mission of The Salvation Army in Canada and Bermuda
- Maintains and promotes a positive image of The Salvation Army by providing a high calibre of professional service and by being courteous, cooperative and helpful at all times
- Supports The Salvation Army’s mission and demonstrates the Core Values
- Takes responsibility for own ongoing professional development to remain current with emerging trends within the disaster and emergency management field
QUALIFICATIONS AND EDUCATION REQUIREMENTS:
- 2-3 years’ experience in an administrative professional position.
- Post-secondary education in business administration or relevant field preferred
- Successful completion of key National Disaster Training Program courses (Introduction to Emergency Disaster Services, Fundamentals of Holistic Care, Disaster Food Service and Canteen Operations, Incident Command System) or ability to complete within 6 months.
