Job Summary

The Postgraduate Medical Education (PGME) Office manages/oversees the operation of all of Dalhousie’s 54 accredited College of Family Physicians (CFPC) and Royal College of Physicians and Surgeons of Canada (RCPSC) training programs, as well as a number of unaccredited fellowship training programs. The office supports approximately 650 PGME trainees (residents/fellows) located at distributed sites throughout Nova Scotia, New Brunswick and Prince Edward Island. Reporting to the Director of the PGME Office, the Admissions Clerk will support the recruitment and admissions process, including the admission of Visa-sponsored trainees.

Key Responsibilities

  • Receive application match results from Canadian Resident Matching Service (CaRMS) as well as receive applications for postgraduate trainees accepted through non-CaRMs matches, and clerically coordinate the admissions process.
  • Ensure eligible sponsored candidate files meet PGME criteria using online application process; send files to accepting programs.
  • Assist the Visa and International Medical Graduates Manager in the coordination of applications, admissions, and related immigration processes to ensure a smooth transition for incoming residents/fellows.
  • Assist in carrying out the registration process for all incoming residents/fellows; verify ACLS, CMPA and Dalhousie registration, immunization and medical licensure information, and other required areas. Set up files for all PGME trainees.
  • Process elective requests for trainees from other Canadian institutes and internationally.

Note Qualifications

Business/Office Administration diploma with approximately 3-5 years’ related work experience (or equivalent combination of training and experience) is required. Ideally the successful candidate will have experience in a clinical setting and/or health education environment, and knowledge of medical education programs and/or academic health care environments will be considered an asset. Excellent communication (verbal and written) and interpersonal skills are required. Must have demonstrated the ability to work independently and multi-task in a deadline driven, team environment. Proficiency in MS Office applications (Word, Excel) and database systems is required.
