Summary:
This position is responsible for admitting international students in programs and processing program application forms

and payments, enhancing the data integrity of the JIBC student information system, tracking and reporting data for

transfer credit, participating in several annual projects involving external reporting and projects aimed at improving

student experience, and assisting with Office of International and Office of Student Affairs functions.

Primary Responsibilities:
Program Admissions

  • Processing international student applications and deciding on student eligibility to be admitted into

programs with appropriate admission requirements;

  • Liaising with program areas in regard to international student admissions, changes to admission

requirements or program requirements, as well as program or course changes;

  • Having a thorough knowledge of and applying the Transfer Credit/PLA policies to program admissions;
  • Keeping the Admissions webpage up-to-date.

Transfer Credit

  • Monitoring the framework of course and program articulations;
  • Maintaining up-to-date transfer credit database ;
  • Submitting and monitoring of courses and programs in the EPBC and BCCAT transfer systems.

Data Integrity

  • Identifying and consolidating duplicate organization, instructor, facility, and student records;
  • Identifying and appropriately processing enrolment and financial links before consolidating records;
  • Updating student records for legal name change;
  • In consultation with colleague users, reviewing and updating the organization tree, instructor, and facility

folder structures in the database;

  • Playing a key role in Central Data Warehouse reporting, including the cleanup of duplicate PEN numbers.

Tuition Classes

  • Verifying correctness and authorizing the release of scheduled tuition based classes and liaise with program

areas as required.

Recurring Projects and Back-up

  • Assisting with the running of T2202As on a yearly basis;
  • Participating in workgroups on a project basis;
  • Acting as a backup Registration Officer by providing information to students and employers on a variety of

tuition-based courses, enrolling students in classes, providing Tier 1 support to students enrolled in on-line

courses, processing payments, issuing receipts and official transcripts, and assisting with in-person

registrations;

  • Assisting with updating content on Registration and Student Services pages on JIBC International website;
  • Assisting with convocation data entry, sorting and mail out of official documents and other convocation

related duties as assigned;

  • Performing other related duties as assigned.

Qualifications & Requirements:Education and Experience:

  • Secondary school graduation and a minimum of three years of directly related experience in an educational

environment , or an equivalent combination of education and experience; bachelor’s degree in a relevant

discipline preferred;

Knowledge, Skills, and Abilities:

  • Demonstrated proficiency in working with a student enrollment management software, such as Colleague,

to process the admission of international students;

  • Excellent computer skills (MS Office, email and Internet applications) and willingness to learn new systems;
  • Comprehensive knowledge of registration management process from recruitment to admission;
  • Knowledge of the BC Transfer Guide and provincial articulation and transfer procedures;
  • Demonstrated understanding of Citizenship and Immigration Canada requirements for study and work

permits;

  • Attention to detail;
  • Demonstrated English language skills together with strong oral and written communication skills and ability

to communicate effectively with non-native English speakers with varying degrees of English proficiency;

  • Fluency in other languages is considered an asset; preference will be given to applicants who can speak

Spanish, Vietnamese, Hindi, Punjabi, and/or Mandarin in addition to English;

  • Demonstrated initiative in the completion of work assignments;
  • Demonstrated ability to communicate courteously and effectively in person, in writing, and over the

telephone with staff, faculty, administrators, students and the public, including government and ministry

personnel;

  • Knowledge of a student information system (i.e., Colleague), and/or a learning management system (i.e.,

Blackboard), as well as Adobe Software are an asset;

  • Proven ability to work independently and as part of a team;
  • Proven ability to work with a minimum of supervision, establish work priorities and to work in a high

volume, detailed environment with attention to accuracy and timeliness.

Salary Range: $45,741 to $48,925 annually (BCGEU Salary Grid 11) plus .79 per hour in lieu of

benefits for an under one year term
