YORK UNIVERSITY CO-OPERATIVE DAYCARE CENTRE
POSITION: ASSISTANT EXECUTIVE DIRECTOR- CHILDCARE OPERATIONS
The Assistant Executive Director is responsible to support the Director with the effective administration and operation of York University Co-operative Daycare Centre in accordance with the Child Care and Early Years Act, the Assessment for Quality Improvement Tool, the regulations and procedures of other legislative bodies and the Policies and Procedures for the York University Co-operative Daycare Centre.
MAJOR DUTIES
Daily Operation of the Centre
- Respond to concerns, inquiries, requests for information made in person, electronic or remote communication.
- Maintain an electronic and/or hard copy filing system
- Assume responsibility for the maintenance of office equipment
- Order program and office items when needed
- Generate memos, newsletters, e-mails, reports, and forms when appropriate
- Ensure the information on the Centre’s website is up to date
- Analyze and revise operating practices to improve efficiency
- Administer payroll
- Assist in annual budget planning for the Centre
- Assist in the planning and execution of projects and events
- Ensure all pertinent information is distributed to the parents and staff
- Ensure that all pertinent information is documented in the children’s files
- Work closely with the Executive Director to maintain and insure the daily running of the Centre.
Enrollment
- Assist the Executive Director in consistently working towards full enrollment
- Conduct tours and assist the Executive Director with the enrollment of children
- Respond to parent inquiries and assist the Executive Director in keeping up to date wait lists
Record Keeping
- Maintain an electronic and/or hard copy filing system
- Record weekly attendance on CSIS to be submitted on time and distribute TCS notices to parents
- Ensure all children’s files are complete at the time of enrollment and staff files are complete
- Ensure the HiMama Childcare Management Program is up to date according to the guidelines as set out by the Ministry of Education
- Maintain and deposit parent fees on time
Food Management
- Ensure proper procedures are followed for food diet, health, and safety
- Maintain and update the allergies and food procedures form as required
- Ensure regular disinfecting of all cupboards, shelves, small and large appliances
Financial Management
- Ensure financial books are up to date as per the guidance from the Bookkeeper
Staff Management
- Assist the Executive Director to orientate staff to the Centre’s Policies and Procedures upon hiring and annually thereafter
- Foster a cohesive and positive team environment and establish collaborative relationships with peers
- Assist the Executive Director in completing the Assessment for Quality Improvement Tool
- Assist the staff in preparing their programs
- Review and sign off on weekly program plans when needed
- Model appropriate team teaching and communication techniques
- Provide coaching and training with regards to problem solving
- Assist the Executive Director in conducting scheduled staff meetings and take minutes
- Track staff absences
- Assist the Executive Director in developing staff schedules which meet the needs of each group- taking into consideration the physical layout of the building
- Anticipate and plan for contingencies, supply in a classroom if necessary
- Assist the Executive Director to orientate the students to the Policies and Procedures of YUCDC
- Assign students and volunteers to their classrooms and locker space
- Assist program staff during the evaluation process of student teachers when required
Health and Safety
- Ensure monthly Workplace Health and Safety Inspections are conducted and assist the representatives to maintain safe workplace conditions
- Ensure all Emergency Information are current, posted and/or stored as required
- Facilitate and participate in monthly fire drills and evacuations
- Report maintenance as required and ensure issues are addressed in a timely manner
- Ensure regular disinfecting of all furniture, shelves, and toys
- Assist in keeping daily reports of children’s sleep charts, medications, and accidents
- Report accidents and serious occurrences to the Executive Director
- Perform emergency first aid as required
Communication
- Maintain and build strong, healthy, professional relationship with the staff, parents, and the University Community
- Respond to parent inquiries regarding children’s progress while maintaining confidentiality
- Encourage parents to actively participate in the operation of the Centre
- Participate in parent nights and special events
- Liaise with members of the University Community about issues of mutual concern
- Be aware of and co-operate with agencies and resources

DECISION MAKING
A significant degree of independent action and decision-making, to maintain the daily operations of the Centre is required. The incumbent works in a collegial and consultative manner with colleagues, parents, children, and other external stakeholders
DIRECTION RECEIVED
General direction is received from the Executive Director
QUALIFICATIONS
Educational Requirements
- Registered member of the College of Early Childhood Educators and in good standing
- Diploma or Degree in Early Childhood Education from an Ontario College or University
- Childcare Management Certificate would be an asset
Experience Requirements
- Minimum 5 years’ experience working in the childcare industry
- Minimum 2 years’ related to being in charge of a program or experience as an Assistant Supervisor with knowledge and experience with supporting and operating a centre.
- Experience with Quick Books and HiMama Software Applications would be an asset
- Experience working in a unionized setting would be an asset
- Comprehensive Experience working with all age groups
SKILLS
- Strong organizational and time management skills
- Excellent written and oral communication skills
- Proficient in MS Office with expertise in Microsoft Word, PowerPoint, and Excel
- Valid standard first aid certification including Infant and Child CPR
OTHER REQUIREMENTS
- A current Criminal Check & Vulnerable Sector Screening
- Current Standard First Aid and Infant Child CPR
- Up to Date Immunization and Health Assessment as per the local Minister of Health Requirements
- Ability to work between the hours of 7:30 am and 6:00 pm
The starting salary for this position is $50K per annum and will commensurate following the probationary period.
