        Responsibilities
        
                        Position Purpose Summary:
Boundless Vancouver Community Ministries organizes The Salvation Army Boundless Vancouver Christmas Toy Shop for children and families. The Christmas Volunteer & Donation Coordinator works with our Boundless Vancouver team to organize our volunteers and coordinate donations for The Christmas Toy Shop and the Christmas Luncheon.
BASIC FUNCTIONS/RESPONSIBILITIES:
Volunteer Coordination: 

Works in conjunction with and in support of The Christmas Toy Shop by identifying and promoting volunteer opportunities
Recruit, screen, register & orient appropriate volunteers to fill positions
Process necessary paperwork, including Criminal Record Checks and volunteer agreement packages
Deploy volunteers to positions relevant to their interests and skills
Help orientate and supervise volunteers while they are deployed to their positions
Keep thorough records of volunteer information and hours of service for statistical purposes

Donation Coordination: 

Work in conjunction with and in support of the Christmas campaigns, identifying the financial and in-kind donation needs for Christmas distribution
Solicit financial and in-kind donations and correspond in a timely manner with individuals and corporate donors in the community; organize toy drives with companies and organizations in the community
Coordinate drop-off and pick up schedule with donors and driver(s)
Help coordinate with divisional Public Relations team for the Toy Mountain event
Relay donated items to the appropriate personnel for proper storage and distribution
Keep thorough records of donor information and donated items/amounts & maintain a positive relationship with our donors
Perform other duties as assigned

 
                    
                

        Qualifications
        
                        Education/Certifications:

Post-secondary education and work experience in fund-raising, donor relations, public relations

Experience:

One (1) to three (3) years of relevant experience, including experience working in customer service related fields

Required Skills/Knowledge:

Excellent organizational skills
Superior relationship building skills and the ability to interact with individuals at all levels in a confident, collaborative and professional manner
Proven ability to multitask
Be able to work independently; demonstrated self-starter and team player
Excellent verbal communication skills in person and on the phone
Excellent written communication skills
Proficient computer skills and familiarity with Google Suite and Microsoft Office
Ability to learn new software quickly and teach others
Be able to lift up to 30 lbs

The Community Outreach Program Manager is responsible for all responsibilities involving the Community Outreach operations.  The Community Outreach Program Manager is required to ensure that programs are in compliance with The Salvation Army Accreditation Standards. Direct staff, counsel clients, advocate and network with the community, exercise fiscal oversight, draft policies and procedures.  The incumbent is responsible for the direct supervision of non-supervisory personnel.  They have input into discipline, hiring or termination decisions or provide advice and guidance within the established guidelines.

KEY RESPONSIBILITIES:

Supervisory Duties:

  • Conduct regular staff meetings to review operational effectiveness, changes in policies and procedures.
  • Develop strategies and recommendations for staff and volunteer development.
  • Direct and supervise staff/volunteers, which include participating in recruitment, selection, orientation, training, performance evaluation etc.; develop strategies and recommendations for employee/volunteer development.
  • Ensure that all employees/volunteers maintain any mandatory training or certification; identify any training needs and reports to the Corps and CFS Officer or designate.
  • Complete payroll supervisory functions, inclusive of approving vacation, sick time, timesheets, etc. for staff where applicable.
  • Ensure & monitor staff safety practices in compliance with health and safety standards, and prepare, submit and act on incident reports; provide calming intervention as required ensuring the safety of everyone.
  • Ensure that proper procedures are followed in the event of a workplace injury or illness, conducting incident investigations when required.
  • Responsible to report any serious infractions or problems in accordance with policies.
  • Provide oversight with direction/assistance from the director on claims and other health and safety matters as required, participate in the supervision of Early and Safe Return to Work plans where applicable.

CRITICAL RELATIONSHIP MANAGEMENT

      Internal:

  • Build and maintain healthy and open communication and relationships with frontline, administrative, and managerial staff
  • Build and maintain healthy and open communication and relationships with clients
  • Maintain appropriate boundaries with all staff and clients

       External:

  • Relationships with community partners
  • Provides assistance to clients

 

MANAGERIAL/Technical Leadership RESPONSIBILITY:

  • This position reports directly to the Director of Homelessness Services
  • Manages the Community Outreach Centre
  • This position manages all staff and volunteers of Community Outreach Centre

 

FINANCIAL AND MATERIALS MANAGEMENT:

  • Expenditure approval authority of up to $10,000.
  • Orders food and supplies from some store accounts.
  • Approve, organize, and maintain all purchases from store accounts

 

WORKING CONDITIONS:

  • Work environment is in the office, in the Community Outreach Centre
  • Some disagreeable conditions include handling garbage, cleaning, odour, dealing with angry people, verbal abuse, stress caused by large responsibility level.
  • Requires regular use of a computer.
  • Requires being able to lift up to 20 pounds.
  • Requires considerable mental effort.
  • Other duties as required

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

Education, Qualifications and Certifications:

  • Completed an Undergraduate University Degree in a Social Service program or equivalent.
  • Safe Food Handling
  • First Aid/CPR Certifications are required.
  • Mental Health First Aid
  • Non-violent crisis intervention training
  • Naloxone Training

Experience and Skilled Knowledge Requirements:

  • Minimum of three (3) years of prior related experience, including experience in specialized social service programs, supervision/management and working with marginalized clientele.

  • Work cooperatively and effectively with others to set goals, resolve problems, and make decisions that enhance organizational effectiveness.
  • Valid PE Class “G” Driver license
  • Screening through criminal and vulnerable sector check

NOTE: An alternative level of education and experience may be considered.

 

Working Conditions:           Full Time – 40 hours per week
